Due to the exciting expansion of our brand, we are seeking a reliable and detail-focused HR & Finance Assistant to support our business operations and growing team.

About the Role

This is a full-time support role, reporting directly to our senior leadership. The HR & Finance Assistant will provide essential support to both the Human Resources and Finance departments, assisting with payroll, employee onboarding, reporting, accounts, debt collection, and lease agreement coordination.

This role is perfect for someone who enjoys a dynamic environment, thrives on organisation, and has a strong sense of accountability and discretion.

Key Responsibilities

Human Resources Support

• Assist with recruitment processes, onboarding, inductions, and compliance documentation

• Maintain and update employee records, contracts, and personnel files

• Track and coordinate staff reviews, certifications, and leave entitlements

• Support internal communications and HR-related administration

Finance, Payroll & Administration

• Assist in processing payroll, superannuation, and entitlements accurately and on time

• Reconcile accounts payable and receivable

• Prepare and maintain reports for internal and external stakeholders

• Assist with monthly financial reporting and BAS preparations

• Support general office administration tasks related to HR and finance

Debt Collection & Account Monitoring

• Monitor overdue member accounts and manage payment defaults

• Follow up on outstanding payments professionally and in line with company procedures

• Liaise with our debt recovery agency (e.g., eCollect) for escalated collections

• Maintain accurate logs and reporting for debt collection activities

Lease Agreements & Renewals

• Coordinate internal lease agreements with independent business operators across all locations

• Manage documentation and renewal timelines for leases and commercial arrangements

• Maintain accurate and up-to-date records of lease terms, contacts, and correspondence

Skills & Experience

• Experience in a similar HR/payroll/finance administrative role

• Strong attention to detail and excellent organisational skills

• Working knowledge of payroll systems and accounting platforms (e.g., Xero, MYOB, Employment Hero)

• Experience in or understanding of lease agreements or contract management (preferred but not essential)

• Strong written and verbal communication skills

• Ability to manage competing priorities and meet deadlines

• Discretion and professionalism when handling confidential information

Desirable

• Qualifications in Business, Accounting, Human Resources, or related fields

• Familiarity with the fitness, wellness, or hospitality industries

• Previous experience with debt recovery processes or lease coordination
