About the role

We're looking for a highly organised, patient-centred coordinator to keep our clinic running smoothly end to end—from appointment and theatre bookings to insurance billing and day-to-day business administration. You'll be the first point of contact for patients, the scheduling hub for surgeons/medical reps/hospitals, and a reliable hand for finance and clerical tasks. A healthcare background is helpful; an interest in marketing or business administration is a bonus.

What you'll do

  • Patient services & clinic bookings

o Manage phones, email, and reception; book and confirm appointments; send reminders and pre/post-op instructions.

o Provide compassionate support and clear information to patients and families.

  • Operation/theatre scheduling

o Coordinate procedure bookings; liaise with surgeons, medical/device reps, partner hospitals and day surgeries.

o Secure theatre time, equipment/consumables, and required documentation; maintain waitlists and surgeon calendars.

  • Insurance billing & finance support

o Verify eligibility/authorisations; prepare invoices; submit and reconcile insurance claims; follow up outstanding accounts.

o Support AP/AR tasks, receipts, petty cash and basic monthly reporting in line with clinic policies.

  • Business admin & clerical

o Maintain accurate patient records in the practice management/EHR system; manage scans, referrals and correspondence.

o Order supplies; handle mail; manage files and general office workflows; contribute to process improvements.

  • (Bonus) Marketing & business admin

o Assist with simple marketing tasks (e.g., updating website content, social posts, referral outreach, basic CRM lists).

o Help prepare slide decks, templates, and light market/competitor research as needed.

What you'll bring

  • Experience in a medical clinic, hospital, or allied health setting (patient admin or bookings) is highly regarded.

  • Strong scheduling and multitasking skills; calm under pressure with excellent attention to detail.

  • Empathetic communicator with professional phone and email etiquette.

  • Comfortable with practice management/EHR software and MS Office/Google Workspace.

  • Understanding of insurance billing and claims processes (or keen to learn quickly).

  • Commitment to confidentiality and compliance with relevant privacy/health records regulations.

  • Nice to have: Studies or experience in healthcare administration, business/finance, or marketing.
