About the role
We’re looking for a highly organised, patient-centred coordinator to keep our clinic running smoothly end to end—from appointment and theatre bookings to insurance billing and day-to-day business administration. You’ll be the first point of contact for patients, the scheduling hub for surgeons/medical reps/hospitals, and a reliable hand for finance and clerical tasks. A healthcare background is helpful; an interest in marketing or business administration is a bonus.
What you’ll do
- Patient services & clinic bookings
- Provide compassionate support and clear information to patients and families.
- Operation/theatre scheduling
- Coordinate procedure bookings; liaise with surgeons, medical/device reps, partner hospitals and day surgeries.
- Secure theatre time, equipment/consumables, and required documentation; maintain waitlists and surgeon calendars.
- Insurance billing & finance support
- Verify eligibility/authorisations; prepare invoices; submit and reconcile insurance claims; follow up outstanding accounts.
- Support AP/AR tasks, receipts, petty cash and basic monthly reporting in line with clinic policies.
- Business admin & clerical
- Maintain accurate patient records in the practice management/EHR system; manage scans, referrals and correspondence.
- Order supplies; handle mail; manage files and general office workflows; contribute to process improvements.
- (Bonus) Marketing & business admin
- Assist with simple marketing tasks (e.g., updating website content, social posts, referral outreach, basic CRM lists).
- Help prepare slide decks, templates, and light market/competitor research as needed.

- What you’ll bring
- Experience in a medical clinic, hospital, or allied health setting (patient admin or bookings) is highly regarded.
- Strong scheduling and multitasking skills; calm under pressure with excellent attention to detail.
- Comfortable with practice management/EHR software and MS Office/Google Workspace.
- Understanding of insurance billing and claims processes (or keen to learn quickly).
- Commitment to confidentiality and compliance with relevant privacy/health records regulations.
- Nice to have: Studies or experience in healthcare administration, business/finance, or marketing.
