About the role:
The Learning and Events Leader is responsible for the end-to-end planning, risk assessment, and delivery of all High School Program (HSP) engagement activities, including multi-day camps, one-day sessions, and family days. This role leads the operational delivery of events while ensuring a culturally safe, engaging, and well-organised experience for students and parents/carers.
A core responsibility of this role is to proactively schedule and prepare for engagements at least 12 months in advance. The Learning and Events Leader also plays a key role in maximising student attendance, leading pre-engagement briefings, and ensuring smooth on-ground delivery during all program engagements.
The role is also responsible for reviewing the effectiveness of engagement activities, learning content, and facilitation, and incorporating improvements into future planning.

Responsibilities:
- Attend and lead end-to-end coordination of engagement activities
- Develop and maintain a rolling 12 – 18 month engagement activities calendar
- Manage logistics, including accommodation, catering, venues, transport, suppliers, and risk assessments
- Familiarity with scheduling around school terms, exam periods, and cultural/community events
- Ensure all necessary documentation, permits, risk management plans, and student medical plans are complete and compliant
- Support the HSP Senior Manager to prepare and manage engagement activity budgets
- Ability to obtain quotes, negotiate with suppliers, and monitor spending to stay within budget
- Skilled in sourcing, onboarding and managing third-party providers (e.g. venues, transport, catering, cultural providers)
- Experience developing service briefs and management supplier agreements
- Ability to maintain relationships with preferred suppliers and identify new ones.
- Ability to lead on-the-ground delivery of engagement activities, including team briefings, daily check-ins, and role assignments
- Calm and confident in high-pressure environments, able to manage incidents and delegate tasks as needed
- Skilled in troubleshooting unexpected challenges (e.g., late arrivals, weather disruptions, equipment failure)
- Experience drafting pre-engagement activity communications (e.g. info packs, run sheets, staff and mentor briefs and FAQs)
- Skilled in delivering clear verbal briefings to groups (e.g. mentors, staff and students)
- Ability to develop and manage staff scheduling for engagement activities

About you:
- Demonstrated experience leading the delivery of medium-scale events, programs, or multi-day engagements
- Proven experience working in or alongside Aboriginal and Torres Strait Islander communities in culturally safe and respectful ways
- High-level project management, coordination, and time management skills
- Strong leadership and interpersonal skills, with the ability to collaborate with teams and provide clear direction
- Experience in risk management, child safety standards, and trauma-informed practice
- Ability to plan and deliver high-quality work under pressure and across multiple priorities
- Strong written and verbal communication skills, with experience preparing briefs, facilitating meetings and workshops, and reporting
- Proficiency in Microsoft Office Suite, SharePoint, and CRM tools such as Dynamics
- Willingness to travel and participate in regular overnight engagements (2-3 nights at a time)
- Experience in education, youth work, event logistics, or program delivery in community or school-based settings (Desirable)
- Understanding of insurance and liability considerations for offsite youth programs (Desirable)
- Bachelor's degree in education, youth/community work, business administration, or a related field (Desirable)
- Familiarity with school calendars and education system structures, particularly in NSW (Desirable)
- Understanding of working with young people from remote, regional, or underserved backgrounds (Desirable)
- Must have a valid driver's license with a great driving record
