Role and Responsibilities

The Office Manager is responsible for:

  • Ensuring the smooth running of the Electorate Office (EO)
  • Managing the Senator Walsh and EO email inboxes, to refer portfolio related correspondence to Departmental Liaison Officer / relevant Ministerial Office (MO) staffer, including tracking responses to correspondence and meeting requests
  • Preparing responses to organisations, ALP stakeholders and constituents within Duty Seats
  • Managing finance and budgeting of EO and Staff Allocations, including reporting
  • Ensuring all Ministerial and Parliamentary reporting obligations are met
  • Preparing and submitting Minister's travel and expense claims
  • Reviewing and approving staff Parliamentary Expense Management System (PEMS) claims
  • Overseeing constituent enquiries
  • Office IT through role as the IT superuser, management of IT equipment and provision of assistance
  • MO, EO and Commonwealth Parliamentary Office (CPO) Office supplies, IT, equipment, and physical space
  • Co-ordinating Duty Seat organising and campaigning
  • Supervising Electorate office staff (where other arrangements are not in place)
  • Providing EA support to Minister and Chief of Staff, including working with the Program Manager to receive and respond to Ministerial diary requests, and to make travel bookings
  • Other duties as required to support the effective operation of the electorate office

Key Selection Criteria

  • Excellent organisational and time management skills
  • Experience in politics, media, government, unions, social justice or related organisations
  • Share the values and priorities of the Minister and the Australian Labor Party
  • Experience in establishing and maintaining efficient administrative systems
  • An understanding of Parliamentary reporting requirements relating to entitlements and probity requirements.
  • Judgement to triage incoming inquires, including in-person, phone calls, emails and paper correspondence.
  • Excellent interpersonal and stakeholder relationship skills

Employment Conditions

The position is offered under the
Members of Parliament (Staff) Act 1984
and conditions are outlined in the
Commonwealth Members of Parliament Staff Enterprise Agreement
which include:

  • A commencing salary between $76,910 and $89,793 will be negotiated depending on experience and relevant skills.
  • An additional Electorate Staff Allowance of up to $27,865 is payable in recognition of, and as compensation for, reasonable additional hours of work including some evenings and weekends.
  • Relocation assistance, studies assistance and paid study leave may also be available (subject to eligibility requirements).
  • An employer superannuation contribution of 15.4% will be payable.
