Mission
We're looking for a highly organised and detail-oriented part-time IT & Admin Coordinator (2–3 days per week) to manage our growing portfolio of digital systems, software licenses, user accounts, and IT equipment.
This role ensures our internal tools are well-documented, cost-controlled, secure, and support a scalable infrastructure as we expand HRK+ and launch the Plusway platform.
Key Responsibilities
License & System Access Management
Maintain a centralised register of all company software subscriptions and SaaS tools (e.g. Xero, Procore, AgentBox, Notion, Zoom, Google Workspace, etc.)
Track user access and permission levels across departments
Support onboarding and offboarding procedures (account provisioning and deactivation)
Subscription Cost & Budget Control
Monitor recurring software costs and flag potential optimisations
Support monthly and annual budgeting for IT-related expenses
Assist in eliminating duplicate or unnecessary subscriptions
Device & Asset Tracking
Maintain a log of all company-owned devices (laptops, phones, tablets, printers, etc.)
Track assignment, returns, repairs, and upgrades across the team
Coordinate basic hardware provisioning and handover
SOPs & Workflow Documentation
Help create and update internal SOPs related to IT systems and digital tools
Standardise processes such as new account requests, shared drive access, and remote work setup
IT Support Liaison (Non-technical)
Coordinate with external IT service providers for support tickets and account issues
Serve as the first point of contact for common IT admin queries internally
Ensure systems remain aligned with HRK+'s data security and access policies
Requirements
Experience: Background in IT admin, office systems coordination, or subscription management
Tools: Familiarity with Microsoft 365, Google Workspace, Zoom, Notion, Dropbox, Slack, etc.
Documentation: Strong skills in Excel/Google Sheets, Notion or equivalent systems
Attributes: Detail-oriented, organised, proactive, and able to manage work independently
Availability: Part-time (2–3 days per week), hybrid/flexible schedule available
Bonus Points
Experience in IT procurement or SaaS cost control
Exposure to system integration, platform migration or digital transformation
Background in real estate, construction, architecture, or similar industries
Ability to assist lightly with IT support issues (email, permissions, network basics)
Location
Sydney-based preferred. Hybrid working is welcome.
