About the Heide Clinic

The Heide Clinic is a brand-new, beautifully designed, purpose-built medical space created to provide collaborative and multidisciplinary care specialising in Gynaecology, Fertility and Women's Health. The clinic has started operation with one clinician and a small admin team, but this will grow to be a multi clinician/specialty clinic with an expanding admin team.

About the Role

This is a full-time position (38 hours per week) offering a competitive salary.

In this role, you'll play an important part in creating a positive and professional first impression for our patients. You'll support our clinical team in the smooth, efficient running of the practice and contribute to an environment that is caring, collaborative, and patient-centred.

Key Responsibilities

  • Respond to patient enquiries, provide accurate appointment information, and manage sensitive conversations with professionalism and empathy.
  • Prepare, run, and close clinics each day, ensuring smooth patient flow and timely follow-up of all actions.
  • Coordinate referrals, and incoming correspondence while maintaining accurate records in Xestro.
  • Process Medicare, private health, and self-funded billing, manage payments and invoices, and complete end-of-day reconciliation.
  • Assist with surgical bookings, including liaising with hospitals, anaesthetists, and theatre teams, and ensuring all documentation is complete.
  • Provide general administrative and reception support to ensure the efficient running of the practice.

About You

To be successful in this role, you will have:

  • Previous experience in GP or specialist practice.
  • Strong proficiency with standard IT systems (experience with Xestro software is advantageous).
  • Excellent written and verbal communication skills.
  • Exceptional interpersonal and patient service skills.
  • Strong organisational ability with attention to detail and accuracy.
  • A proactive mindset and willingness to improve processes and patient experience.
