Position Description: Events Manager/Coordinator - Full Time

The European Australian Business Council (EABC) is one of the most active and influential corporate forums in Australia. The EABC is a multi-stakeholder business organisation with a membership made up of corporate leaders, major Australian and European companies, chambers of commerce, embassies, consulates, trade agencies, universities and other business and industry groups.

EABC's programme of events include regular high-level business forums with Australian and European leaders and senior officials on economic and public policy issues influencing the trade and investment relationship between Australia and Europe. Activities include boardroom forums, briefings, receptions, occasional large corporate events, delegations and missions held in Sydney, Melbourne, Canberra, Brisbane, Perth, and European Capitals including Brussels and London.

The Secretariat of the EABC is made up of a small, dynamic and focused team responsible for delivery of effective and quality programmes and in developing and enhancing relationships with stakeholders. The Secretariat is based in the Sydney CBD on the corner of Pitt and King Streets.

The Role/Position Overview:

The Secretariat is seeking to appoint a full-time Events Manager/Coordinator who will work closely with the Chief Operating Officer and the Policy Team.

The role of Events Manager/Coordinator (the Manager/Coordinator) for the European Australian Business Council is a pivotal position in the Council encompassing a wide range of organisational duties for events.

The Events Manager / Coordinator is responsible for the planning, coordination, and delivery of high-quality events. This role ensures all events are inclusive, well-organised, and aligned with the EABC's goals and standards. Working closely with the Chief Operating Officer, the Events Manager / Coordinator will manage the end-to-end process from concept to post-event reporting, while maintaining strong relationships with internal and external stakeholders.

Key Responsibilities:

Event Planning & Coordination

  • Plan, manage, and deliver events from inception through to completion, ensuring professional standards and smooth execution.

  • Work closely with the Chief Operating Officer and other senior staff to align events with strategic priorities.

  • Ensure all events are inclusive, welcoming, and accessible to diverse participants.

  • Liaise with internal teams, sponsors, speakers, and guests to coordinate logistics, content, and materials.

  • Ensure all events comply with host company policies, procedures, and relevant regulations.

  • Produce event briefs and ensure they are regularly updated and distributed to stakeholders.

  • Manage programme information for printed materials, bulletins, and the website.

Event Systems & Administration

  • Use Cvent event management software to manage invitations, registrations, attendee tracking, and reporting.

  • Use Zoom or other virtual platforms to plan and deliver online or hybrid events.

  • Maintain accurate records of invitees, RSVPs, and attendees.

  • Manage event collateral production, including signage, name tags, run sheets, and briefs.

  • Ensure all required permissions and approvals are obtained before events proceed.

  • Manage post-event reporting and distribution, including attendee feedback and key learnings.

  • Identify and capture new contact information from email and event correspondence for database updates.

Stakeholder & Partner Liaison

  • Serve as the primary point of contact for event stakeholders, sponsors, and suppliers.

  • Liaise with catering managers to confirm menus, guest numbers, and dietary requirements.

  • Manage relationships with commercial venues, including negotiation of discounts and contracts.

  • Coordinate photography to ensure professional event coverage.

  • Manage guest lists to maximise attendance and ensure accurate tracking.

  • Oversee follow-up communication, thank-yous, and acknowledgements to guests, sponsors, and partners.

  • Ensure sponsors receive appropriate recognition in event materials, at the event, and in post-event communications.

Financial & Administrative Management

  • Support event budget forecasting, expenditure tracking, and financial reporting.

  • Manage Value-In-Kind (VIK) contributions, gifts, and presentations.

  • Undertake general office and administrative duties as required.

  • Provide diary management and logistical support related to events and associated meetings.

Qualifications & Skills

  • Demonstrated experience in event coordination or event management.

  • Proficiency in Cvent or similar event management platforms.

  • Experience with Zoom or other virtual meeting/webinar platforms.

  • Strong organisational and project management skills with attention to detail.

  • Excellent communication and interpersonal skills for stakeholder engagement.

  • Ability to manage multiple priorities and deadlines in a dynamic environment.

  • Financial literacy and experience managing event budgets preferred.

  • Strong writing and editing skills for event materials and correspondence.

  • A proactive, solutions-focused, and collaborative approach.

Desirable

  • Experience working with corporate, government, or membership-based organisations.

  • Understanding of sponsorship engagement and recognition processes.

  • Familiarity with CRM/database systems for contact and event data management.

  • Minimum of 1+ years in an events role
