We're a small, family-run group of businesses with diverse interests and investments. Based in Avalon We're looking for a trustworthy, organised, and proactive Personal & Business Assistant to support two Directors across both business and personal administration.
This flexible role is ideal for someone seeking school hours and the ability to work partly from home. You'll be the key person ensuring everything runs smoothly—managing calendars, coordinating travel, liaising with contractors, and keeping our administrative systems on track.
Up to 50-75% of work can be performed from home as part of our hybrid working arrangement.

Key Responsibilities
Support for Two Directors
- Manage calendars, appointments, reminders, and scheduling
- Monitor and help manage inboxes and task lists
- Draft, edit, and prepare emails, documents, and meeting notes
- Coordinate travel bookings, itineraries, and logistics
- Assist with occasional personal administration tasks
Administration & Systems
- Maintain organised digital filing systems (e.g., Google Drive)
- Oversee use and access of digital tools such as Google Workspace
- Keep procedures, checklists, and internal templates up to date
- Support onboarding of contractors, consultants, or new staff
- Proficiency in Google Workspace, Xero accounting software, and calendar management tools is essential
Liaison & Coordination
- Communicate with accountants, consultants, and contractors
- Manage accounts payable and receivable
- Maintain subscriptions, reimbursements, and administrative records
- Coordinate reports, documentation, and communication across various businesses and investments
Tech & Workflow Support
- Assist with basic tech troubleshooting
- Manage user access across software accounts
- Suggest improvements to systems, workflows, and digital organisation
What We're Looking For
- Proven experience in administration, executive support, or operations
- Strong organisational and time management skills
- Confident managing multiple calendars, priorities, and stakeholders
- Tech-savvy; comfortable with Google Workspace, Dropbox, Xero
- Have Bookkeeping/accounting knowledge
- Clear, friendly, and professional communication
- Trustworthy, proactive, and able to work independently
- Must be an Australian citizen with appropriate work rights
Desirable
- Experience in small or family-run businesses
- Xero experience
- Background in coordinating projects, travel, or contractors
- Comfortable juggling both personal and professional support tasks
