About the Role (your why)

We're looking for a proactive Portfolio Coordinator to support our portfolio management office and help ensure projects and programs are tracked, reported and delivered on time. As Portfolio Coordinator, you will provide day-to-day coordination and administrative support for the portfolio management function. You'll maintain portfolio reporting, track milestones and budgets, coordinate meetings and communications. This is a great role for someone who is organised, analytical and enjoys turning data into clear, actionable insight. In this role, you will work closely with project managers and stakeholders to ensure projects are executed effectively and meet strategic objectives

What you'll do

As Portfolio Coordinator, you will be responsible for overseeing and coordinating a diverse range of projects within Datacom's portfolio. At the moment, as Portfolio Coordinator, you will be focused on:

  • Assisting the Portfolio Manager in the coordination and tracking of project progress against established timelines and budgets
  • Supporting project managers with administrative tasks, including scheduling meetings, preparing documentation, and updating project management tools
  • Collaborating with cross-functional teams to ensure portfolio administrative tasks are completed
  • Maintaining project files and records, ensuring all documentation is complete, accurate, and up-to-date
  • Facilitating project meetings, documenting minutes, and following up on action items
  • Assisting the development of reports and providing to senior management regarding the portfolio's performance
  • Supporting the development and maintenance of portfolio management processes and best practices
  • Ensuring compliance with relevant policies, procedures, and standards
  • Takes reasonable care that their actions (or inactions) do not harm the Health and Safety of self or others. Reports all incidents, hazards, or unsafe work practices as per Datacom policy

Required skills & experience

  • Strong Microsoft Word and Excel skills (pivot tables, VLOOKUP/XLOOKUP, data manipulation) and PowerPoint
  • Comfortable building and maintaining dashboards (Excel, Power BI, or similar)
  • Excellent verbal and written communication; ability to produce clear executive-level summaries
  • Strong organisational skills, attention to detail and ability to manage competing priorities
  • Experience with project/portfolio tools (MS Project, PowerBI, or similar) is desirable
  • Able to work collaboratively across teams and with senior stakeholders
