Adminstration Officer– Disability Support Services

Key Responsibilities:

  • Answering phone calls and managing participant and staff enquiries
  • Assisting with rosters, shift updates, and documentation using ShiftCare
  • Preparing and sending professional emails to stakeholders and team members
  • Supporting onboarding processes for new staff and participants
  • Managing intake forms, incident reports, and compliance documentation
  • Assisting with NDIS audits and daily office operations
  • Updating and maintaining staff and participant records
  • Supporting social media posts, recruitment admin, and reception tasks
  • Scheduling appointments for directors and case managers

Skills & Experience Required:

Previous experience in an administrative or office support role, preferably in the healthcare, disability, or community services sector

Excellent written and verbal communication skills – professional phone and email etiquette is essential

Strong time management and organisational skills, with the ability to prioritise tasks and work independently

Proficiency with digital tools and systems – including Microsoft Office 365, Gmail, Google Drive, and cloud-based platforms (e.g., ShiftCare, PandaDoc)

Familiarity with NDIS compliance and documentation processes (highly desirable, but not essential – training provided)

Problem-solving mindset – proactive, resourceful, and calm under pressure

Discretion and confidentiality when handling sensitive information

High attention to detail when managing files, forms, and rostering updates

Ability to work collaboratively with a multidisciplinary team of case managers, support workers, and external stakeholders

A current NDIS Worker Screening Check (or willingness to obtain one)


Desirable Qualifications:

  • Cert III or IV in Business Admin, Community Services, or related field
  • NDIS Worker Orientation Module completion
  • Experience using ShiftCare, Xero, or PandaDoc
  • Understanding of NDIS Practice Standards
  • First Aid & CPR Certificate
  • Valid Australian Driver's Licence
