Why we have this role @ Koala

This is a 12-month maternity leave cover contract. As the Supply Chain Analyst for logistics & fulfilment, you are the financial and analytical backbone of operations, maintaining financial reporting, ensuring efficiency, driving performance improvements and inventory accuracy. This role is vital in identifying areas for improvement and developing tools to monitor key performance indicators. The role works closely with Global finance & planning as well as product development representatives.

What key responsibilities does this role have @ Koala?

Financial Accuracy & Control

  • Budgeting & Planning: Support the Finance team with quarterly and annual budget preparation by collecting, cleaning, and validating large historical cost data sets for warehousing and transport activities, including cost overlays outside of unit economics.
  • Koala Unit Economics: Conduct regular review and update of the unit economics for fulfilment activities. These critical metrics feed directly into the Product team's future product development and the company's accurate reporting of margins (C1 & C2) and revenue projections.
  • Invoice Management & Validation: Conduct weekly tracking and validation of transport and warehouse / order fulfilment invoices to ensure accuracy and prepare them for essential end-of-month processing, actively identifying and resolving any invoicing errors.
  • Financial Reporting Support: Work closely with the Finance team to support end-of-month financial reporting by providing account accruals for order fulfilment activity and supplying detailed context on monthly operational activities.
  • Process Improvement Projects: Initiate and lead improvement projects focused on creating a leaner operation, initiatives include driving greater inventory storage utilisation outcomes and non-core range (NRG) management also specifically working to validate our invoicing processes and drive better KPIs from our transport and warehousing partners.

Inventory Management

  • Stock Reconciliation: Conduct the monthly stock reconciliation process to ensure accurate inventory alignment between Koala and partner warehouse systems.
  • Discrepancy Investigation: Actively investigate stock discrepancies using warehouse transaction reports, historical Stock on Hand (SOH) reports, and NetSuite inbound/outbound transaction data to maintain inventory integrity.
  • Monthly Team Reporting: Own the preparation of monthly team meeting slides, ensuring all KPI and financial performance data and graphs are accurately updated and clearly communicated.
  • Stocktake management: Coordination of annual stocktake with IFC and CTI as well as managing relationships with Koala Finance team and External auditors. Collating of results and reconciliation of perpetual inventory systems.

Operational Planning & Performance

  • Outbound Forecasting: Own the monthly outbound forecast. You will translate the core sales forecast into a physical carton projection that respects daily warehouse picking capacity, adjusting the forecast as needed during peak-sale periods and sharing the final plan with our Order Fulfilment and Transport LMD partners.
  • KPI Management & Visualisation: Proactively track and monitor Key Performance Indicators (KPIs) for all logistics and warehouse service providers. You will prepare detailed reports, including relevant graphs and visualisations, for presentation during regular stand-up and monthly team meetings. Ensure the monthly report that feeds into the Koala MBR is prepared for the team.
  • Continuous Improvement Analysis: Working closely with the Global Head of Fulfilment, you will execute ad hoc data analysis to support and drive continuous improvement initiatives, evaluating opportunities to optimise and manage associated costs across inventory management, storage, and overall supply chain processes.

Ideal background...

  • Several years of experience (3+) in a similar data-focused and financial role.
  • A whiz with data and know your way around Excel and Google Sheets like the back of your hand.
  • A natural at turning data into easy-to-understand reports, visuals, and insights
  • Strong working knowledge of the Google Suite; experience with NetSuite or similar ERP platforms is a bonus
  • Top-notch communication skills and are great at working with people from all over the world.
  • A creative problem-solver who thinks about how your work impacts the whole business.
  • Takes ownership of their projects and is ready to jump in and get things done.
