Purpose of the Role
BGIS is seeking an
Asset & Facilities Coordinator
to support the day-to-day delivery of facilities services at an
iconic Melbourne events precinct
. Based on-site in Ascot Vale, you will play an important role in ensuring that facilities run smoothly while producing key performance and compliance reports for both internal and client stakeholders .

This role is ideal for someone who enjoys variety, values teamwork in a small and supportive environment, and has a "can-do" attitude to step in and step up when needed.

Key Responsibilities

  • Prepare and deliver monthly and quarterly reporting (grounds & gardens, compliance, performance, etc.)
  • Manage and maintain CMMS data, work orders, and asset registers
  • Coordinate soft and hard services contractors, ensuring delivery against KPIs
  • Assist with procurement of consumables, purchase orders, and invoices
  • Support facilities inspections, audits, and compliance requirements
  • Build strong working relationships with colleagues, clients, and subcontractors
  • Provide general administrative and operational support to the Account Manager and Facilities team

Education, Experience & Skills
Essential:

  • Experience in facilities coordination, administration, or reporting-heavy roles
  • Proficiency with Microsoft Excel, Power BI, and other reporting tools
  • Strong organisational and communication skills
  • Ability to work collaboratively in a small team environment
  • Full working rights in Australia

Desirable:

  • Background in facilities management, property, or corporate real estate
  • Experience using Computerised Maintenance Management Systems (CMMS)
  • Exposure to contract compliance or KPI reporting
