The opportunity
An exciting opportunity has arisen for a part-time Events and Marketing Administration Assistant to join the Sydney office. You will provide essential administrative and logistical support to the Senior Marketing & Business Development Manager and Marketing and Business Development Executive, assisting with strategic, high-value activities that drive client growth and firm visibility.
The core hours for this role are 9:00am to 5:30pm (3 days per week) with flexibility as required.
There will be the occasional need for this role to work flexibly and outside of their core working hours.

The team
This role will work closely with the Senior Marketing & Business Development Manager and Marketing and Business Development Executive in Sydney. It's an exciting opportunity to gain hands-on training and experience as part of our high-performing, internationally experienced Marketing & Business Development team.
You will be part of a friendly and supportive Business Services team who will help to guide and support your career development. Energetic, creative, and global, we're looking for people who have a passion for MBD and are keen to take a fresh approach.

Duties & Responsibilities:
Event Coordination Support
- Venue research and booking.
- Catering and supplier liaison.
- RSVP management and guest communications.
- On-site logistics and material preparation.
Marketing Administration
- Updating CRM systems and mailing lists.
- Assisting with social media scheduling and content uploads.
- Formatting and proofreading client communications.
- Coordinating internal approvals for marketing collateral.
Reporting & Data Management
- Tracking event attendance and engagement metrics.
- Compiling post-event reports.
- Maintaining marketing calendars and timelines.
General Support
- Diary coordination and scheduling.
- Assistance with budget tracking and invoice processing.
- Other daily adhoc administrative and event & marketing support as required.
About you:
This role is ideal for either:
- A university student currently pursuing or recently completed a degree in marketing, communications, event management, or business.
- An experienced Personal Assistant or Team Assistant who is looking to transition into marketing and business development.
- A Junior Marketing Coordinator or Events Assistant with 1–2 years of experience in a similar role in hospitality or a customer-focused setting.
However, we encourage all qualified candidates who demonstrate the core competencies and enthusiasm for marketing and business development to apply, regardless of their specific background or experience level.
Skills and Attributes:
Knowledge and skills
- Strong writing skills, editing ability and proficiency in MS Applications including Word, PowerPoint and Excel.
- Social media savvy.
- Willingness to learn CRM systems, social media management tools, and basic design software such as Canva.
- Creative thinker and problem solver.
- Professional and respectful communication skills, with the ability to build rapport with peers and senior stakeholders alike.
- Excellent English language skills (written and verbal).
- Great attention to detail.
Resource management
- Excellent organisational skills, including the ability to identify, manage and deliver against competing priorities as well as the ability to manage multiple concurrent projects.
- Responsiveness and ownership of tasks to ensure they are delivered on time and to a high standard.
- Proactive and effective organisation of information and the upkeep of group MBD infrastructure.
