THE COMPANY

The Woodhouse Timber Company is an Australian owned and established business that services the Queensland, New South Wales, ACT, Victorian, South Australian and Western Australian markets with premium building products.

Operating under an exclusive wholesale supply chain model, Woodhouse distributes its product ranges through a recognised network of Building Material and Hardware Merchants; Home Centre Outlets; and Truss and Wall frame manufacturers.

Our range includes Structural and Decorative Remanufactured Plantation Pine products for internal and external building projects and applications.

We currently have a permanent full-time position for a Warehouse Manager at our Smithfield, NSW Warehouse.

KEY PURPOSE:

This role is responsible for the efficient and effective management of all warehouse and office activities whilst ensuring that all safety aspects are adhered to.

A key focus of this role is to support the execution of Woodhouse's vision:

"We are fast, flexible and frequent, providing customers with quality products and service, futureproofing our business".

This hands-on and labour-intensive role will be directly responsible for the entire warehouse, office and all the necessary procedures and processes. Strong focus must be placed on customer service, time management, meeting delivery deadlines and the ability to multi-task.

MAJOR OBJECTIVES:

The following are the major objectives of the role:

  • Compliance with all safety and environmental procedures/responsibilities.
  • Maintaining and implementing all workplace health and safety procedures to make sure that the work site (including the office) is safe for all workers, visitors, and customers, this includes following the Safe Operating Procedure (SOP) when working alone.
  • Responsible for the efficient and effective management of warehouse and office staff and activities.
  • Use of the WMS (Warehouse Management System) HighJump and ERP (NetSuite) to optimise warehouse performance.
  • Motivate the workforce to ensure that products are stored and shipped out accurately and efficiently.
  • Ensure proper transport, packaging and placement of products.
  • Management of inventory (cycle counts, receiving, maintaining, restoration, replenishing and rotation of stock), including damages.
  • Customer Service – work with Customer Service Hub to:

  • Responding to necessary calls and email enquiries.

  • Monitoring EDI and order entry.
  • Booking transport.
  • Adherence to all safety regulations and legislative requirements.
  • Ensure necessary company inductions are completed by self and any other staff before undertaking any tasks that requires an induction (Manual handling; forklift safety; lifting and changing forklift gas; racking; working alone).
  • Manage the effective implementation of the chain of custody process.
  • Managing the warehouse and office so that all areas are kept clean and tidy from scrap and hazardous materials. Ensure that appropriate products are recycled or disposed of correctly, along with reporting any safety hazard concerns.
  • Ensure that safe and environmentally acceptable working methods and practices are implemented and carried out across the warehouse activities.
  • Promote total job safety and environmental awareness to employees, subcontractors and all persons in the job vicinity and stress to all employees and subcontractors the importance senior management attaches to safe work practices and environmental protection.
  • Ensure that hazards are identified, risk assessed, and control measures planned and implemented in consultation with relevant employees and as authorised by the Regional Warehouse Operations Manager.

KEY ACCOUNTABILITIES:

SAFETY

  • Be a Woodhouse Timber Safety Champion and understand the responsibilities of this role.
  • Ensure adherence to the Woodhouse Timber Health and Safety Manual and its policies and procedures.
  • Act diligently to ensure all Risk and Safety Assessments are completed using the appropriate forms and documents.
  • Manage cleanliness of the office, toilets, kitchen, and outside eating area.

MANAGEMENT & PLANNING

  • Support and direct activities to ensure completion in accordance with Company plans and procedures.
  • Manage warehouse activities in accordance with metrics and targets to ensure all work is completed on time and within budget, whilst constantly ensuring the planning, safety and environmental requirements are met.
  • Provide constant support and direction to personnel to ensure all staff have a clear understanding of their daily tasks and company goals.
  • Create and maintain a positive working environment.
  • Hold self and staff accountable.
  • Ensure all activities are performed in compliance with the requirements of the relevant specifications, codes, and standards of the Company.
  • Timely submittal of reports (i.e., shift reports, toolbox forms, risk assessments, incident reports and monthly reports).
  • Assess and allocate priorities, as necessary.
  • Have a thorough understanding of all work documentation around processes and procedures (including Job Aids), and ensure they are being followed, maintained, and adhered to.
  • Ensure all personnel are inducted and trained in their role and responsibilities and are competent to perform the duties allocated to them.
  • Conduct training, development and onboarding for any staff that require it, including new staff members.
  • Assist in the recruitment of new employees, if requested.
  • Preparing and presenting Toolbox and Safety Team meetings which are relevant to the team in consultation with the Regional Warehouse Operations Manager.
  • Establish and continue filing system (Proof of Delivery & Delivery Docket)
  • Develop and maintain effective relationships with sales representatives.

OPERATIONAL

  • Manage all monthly responsibilities of Inventory shift.
  • Manage daily work assignments for warehouse staff.
  • Maintain machinery, by ensuring equipment pre-starts are undertaken and are serviced when needed.
  • Managing all incoming and outgoing stock (includes liaising with transport and shipping companies), making sure that all stock is accurately and efficiently received, cycle counted, documented, loaded/unloaded, and stored correctly.
  • Inventory management – receiving, maintaining, cycle counting, restoration and rotation of stock.
  • Moving stock with the ability to safely apply and use safe lifting practices, including materials up to 35kg.
  • Conducting monthly stock takes (cycle counts) on the branch's inventory, as well as specific counts on product groups to ensure that inventory is correct and accurate at all times.
  • Requisition and maintenance of minor materials and consumables as required (including, but not limited to, Gas for forklifts, wrapping / strapping materials).
  • Manage the regular (daily/weekly) replenishment and re-loading of the loose pick bins – no bins should ever be completely empty.
  • Manage care of product ensuring that all stock is always handled correctly to avoid damage - all stock must well-maintained and labelled.
  • Follow company packing procedure, ensuring that enough packaging material is being used when preparing orders to avoid 'in transit' damage.
  • Liaise professionally and politely with truck drivers ensuring that the best service possible is offered at all times.
  • Work autonomously and alone ensuring your own health and safety, when necessary.
  • Promotion of professional image of the Company's operations; and
  • Any other duties as may be required by the Company.

QUALIFICATIONS/KEY/SKILLS/COMPETENCIES/PERSONAL ATTRIBUTES:

  • Minimum 3 years' experience within leadership role in warehouse environment (Timber Industry preferred, not necessary).
  • Knowledge of inventory and supply chain management.
  • RF Scanning experience.
  • Ability to work automatously.
  • Possess forklift licence & must be confident in usage of forklift in a warehouse environment.
  • Sound working knowledge of Health and Safety requirements and implementation of.
  • Strong and proven ability to lead, direct and manage groups of diverse employees.
  • Excellent organisation and efficient time management skills.
  • Ability to meet deadlines and works well under pressure.
  • Strong verbal and written communication skills.
  • Ability to problem solve and make sound decisions under pressure.
  • Previous warehouse, pick and packing experience; and
  • Certificate III Warehousing Operations (not essential but will be highly regarded).

AUTHORITIES:

  • Authority to immediately stop any works or part works or specified activities directly affected by hazards or potential hazards without adequate control measures in place or where there is a high risk of incident. Resolution of the issue is to be with the relevant Regional Warehouse Operations Manager, or in their absence, the Director of Operations.

WORKING RELATIONSHIPS:

  • The Warehouse Manager reports directly to the relevant Regional Warehouse Operations Manager.
  • From time to time may liaise with Heads of Departments (i.e., HR, Supply Chain & Logistics Manager, CFO & General Manager – Commercial, Senior Manager Operational Excellence); and
  • Work closely with the Customer Service Hub.

TRAVEL:

  • Ad hoc travel will be required to interstate warehouse locations for training and development.
