Role Purpose and Overview
The Shared Services Manager is responsible for managing centralised support services including finance, procurement, payroll, and administrative functions within finance department. This role plays a key part in optimising inbound collection, creditors payments, customers & suppliers data integrity, standardising processes, and delivering high-quality, cost-effective services to internal & external stakeholders. This position encompasses AUS, NZ & US Operations.
Key Deliverables, Duties and Responsibilities
Finance & Administration:
•Oversee daily delivery of shared service, including transactional finance (AP/AR), Payroll Administration and other administration support
•Manage AR Team's internal policies & processes, ensuring client applications are assessed to a satisfactory level, aiming for reduction of debtors' days, and acting as a point of escalation for AR team members
•Manage AP Team's internal policies & processes, ensuring creditors are maintained, payments are accurate and on time
•Liaising with multiple departments to ensure processes are adhered to, mainly with operations/billing team, to ensure billing schedules are followed, leading to a seamless collection
•Identify, investigate and solve problems pertaining to debtors' payment delays
Process Improvements:
•Monitor & enhance standardised processes supporting finance department
•Drive continuous improvement initiatives across services to enhance efficiency, accuracy, and scalability
•Develop and maintain process documentation and standard operating procedures (SOPs) tailored to the Atlan way
•Collaborate with finance personnel, in keeping alignment with agreed standard operating procedures
Leadership & Team Management:
•Manage and develop a multi-disciplinary shared services team (AP & AR)
•Promote a culture of accountability, service excellence, and process ownership
•Facilitate cross-functional collaboration between shared services and other departments / sites
Stakeholder Engagement:
•Serve as a key liaison between finance functions and ops / sites
•Provide reporting and insights to leadership regarding performance, AP reports, AR reports and EOM reporting
Compliance & Controls:
•Ensure compliance with regulatory, financial, and corporate standards across all services.
•Assist with auditing process
Financial & Resource Management:
•Develop and manage shared services budgets and resource plans
•Identify cost-saving opportunities and track efficiency gains from shared services initiatives
Experience and Qualifications Required
§ Bachelor's degree in business administration, Operations Management, Accounting, or related field
§ Minimum 5–7 years of experience in shared services, with at least 3 years in a manufacturing or industrial setting
§ Strong knowledge of ERP systems (e.g., NetSuite)
§ Proven leadership and change management capabilities
Knowledge, Skills and Attributes
· Excellent problem-solving and analytical skills
· Effective communication and stakeholder management abilities
· A self-starter, team player, with sound leadership skills and a "can-do" attitude is a must
· Ability to work with and across other operational departments within the business
· Strong communication and presentation skills, with the ability to effectively communicate with non-financial stakeholders
· Strong commercial acumen with the ability to develop a deep understanding of the business and work as a strategic business partner to operations
