Office Support

SteelChief Industries is seeking an Officer support person to join our team in Ballarat.

We are an Australian-owned, family-operated manufacturer, specialising in high-quality outdoor storage solutions and pet enclosures. With over 35 years of industry experience, we take pride in our customisable, durable products and a strong commitment to customer satisfaction.

This role is perfect for someone who is looking for a permanent part time to full time position (School friendly hours) who enjoys a dynamic environment and is passionate about delivering exceptional customer experiences. The Office Support position involves assisting with the day-to-day administrative operations of the office, including front-desk duties, general office support, and helping with sales and permit-related processes. It also involves creating a professional and welcoming environment for customers, visitors, and staff.

Main Duties and Responsibilites

  • Reception duties, welcoming visitors, and handling front-desk responsibilities.

  • Answering incoming phone calls and transferring them to the right contacts.

  • Coordinating appointments, meeting room bookings, travel arrangements, and maintaining accurate visitor logs.

  • Handling correspondence and emails in a timely and professional manner.

  • Assisting with senior management's incoming mail and appointments, ensuring calendars are up-to-date and schedules run efficiently.

  • Ensuring the reception and common areas are clean, organised, and presentable at all times.

  • Supporting administrative tasks such as data entry, document preparation, and filing.

  • Monitoring office supplies and coordinating restocking processes as needed.

  • Overseeing adherence to company security and safety procedures, including visitor sign-in and site access.

  • Assisting with sales support, including customer enquiries, basic quoting, follow-ups, and order processing.

  • Assisting with the permit application process for sheds, including preparing required documentation and liaising with local councils or regulatory authorities.

  • Acting as a point of contact for internal staff, providing administrative support as required to ensure smooth office operations.

  • This role requires some technical knowledge or a basic understanding of building or manufacturing to help customers make informed decisions.

About You

The ideal candidate will have:

  • Experience in a high paced environment (advantageous)

  • Experience with permits (advantageous)

  • Strong communication skills (both written and verbal) and a customer-first approach.

  • High attention to detail and the ability to manage multiple tasks in a fast-paced environment.

  • A proactive, results-driven mindset with a strong work ethic.

  • Ability to follow structured processes and procedures to ensure smooth operations.

  • Strong problem-solving skills and the ability to handle customer inquiries with confidence.

  • Strong organisational and administrative skills to ensure accurate order processing.

  • A commitment to workplace safety and compliance.

  • A current police check (or willingness to obtain one).
