Our Wealth division is seeking a proactive and detail-oriented Senior Client Services Officer to support advisors, clients, and internal stakeholders through exceptional administration and client service.

About the Role

This is an ideal opportunity for a Senior Client Services Officer looking to take the next towards becoming a Practice Manager and play a key role in the future growth of the firm.

You'll be an integral part of our Administration function, supporting the day-to-day operations of the Wealth Division team. Your work ensures the accuracy, timeliness, and professionalism of all client interactions, documentation, and lodgements.

You will also support advisors with investment-related administration, including gathering investment information, assisting with investment research tasks, and preparing investment reports for client reviews.

This role is perfect for someone who thrives in a fast-paced professional services environment, enjoys problem-solving, and takes pride in delivering outstanding client experiences.

Key Responsibilities

  • Provide proactive administrative and client service support to advisors and team members
  • Respond promptly and professionally to client enquiries
  • Coordinate annual client reviews and renewal processes, including meeting preparation and diary management
  • Ensure all client interactions, documentation, investment reporting, and administrative processes are completed in line with compliance requirements, licensee policies, and the Firm's System of Quality Management.
  • Be responsible for advice implementations
  • Liaise with clients, advisors, product providers, and third parties
  • Conduct investment research (e.g., fund information, performance data, policy documents) to support advisor workflow
  • Assist with preparing investment and portfolio reports for client meetings
  • Maintain accurate and up-to-date client records across Xplan, Microsoft Office, and internal systems
  • Support workflow management including WIP tracking, reporting, and invoicing assistance
  • Prepare client meeting packs, investments & superannuation, SMSF's, insurance, tax and accounting documents, and regulatory paperwork
  • Contribute to broad administrative duties including scanning, filing, correspondence, and database maintenance
  • Participate in process improvement initiatives and uphold a positive team culture

About You

  • 3+ years in a similar client services role within the industry
  • Diploma in Financial Planning or equivalent (desirable)
  • Experience with Xplan (essential)
  • Paraplanning experience (preferable)
  • Technical compliance
  • Implementation experience across a variety of platforms & insurance providers
  • Strong knowledge of entities, SMSF, trusts and companies
  • Investment knowledge across equities, ETFs, managed funds and corporate bonds
  • Experience with compliance – adhering to licensee frameworks
  • Leadership skills
  • Strong proficiency with Microsoft Office
  • Strong attention to detail and an ability to interpret financial information
  • Confident communicator with strong interpersonal skills
  • Highly organised, proactive, and able to manage competing priorities
