The Opportunity

Formee Holdings is a multinational company based in Australia, USA, Canada, Malaysia and India, which manages a portfolio of brands in the technology and beverage industries. We have an exciting opportunity for an Executive Assistant role to support the company CEO / Director with administrative tasks and management of overseas branches, from Monday to Friday.

The successful candidate will need to have experience with executive level administration support; from drafting emails, coordinating meetings, proposing solutions to the director on daily operational needs and working flexible hours in order to support the businesses in Australia and Malaysia.


Key Responsibilities

  • Manage and maintain the CEO's calendar, including scheduling meetings and appointments, using sound judgment and awareness of current priorities to effectively manage the CEO's time.
  • Provide high-level professional documentation and communication support in English, including monitoring the CEO's inbox, drafting responses, and preparing company correspondence and reports.
  • Anticipate, gather, and prepare materials for the CEO's meetings, presentations, and briefings.
  • Deliver comprehensive administrative and operational support to the CEO.
  • Plan, coordinate, and manage logistics and communications for a wide range of internal and external meetings.
  • Coordinate communication with all trades personnel
  • Liaise with HR Managers in India and Malaysia to identify operational needs and support the CEO in implementing HQ-level initiatives.
  • Assist in managing the CEO's LinkedIn profile and job postings.
  • Prepare correspondence, reports, and other official documents as requested by the CEO.
  • Undertake special projects and ad-hoc assignments as allocated by the CEO.
  • Collaborate with the CEO's daytime Executive Assistant in Australia to ensure smooth task handovers and continuous workflow between shifts.
  • Perform general administrative duties and provide additional support as required.


Essential Selection Criteria:

  • Hold a Bachelor's degree.
  • Possess strong interpersonal, communication, and English language skills (both written and verbal).
  • Highly organised, proactive, and detail-oriented.
  • Strong understanding of social media platforms and engagement strategies.
  • Good knowledge of business development principles and customer service practices.
  • Proven ability to quickly learn and adapt to new systems and processes.
  • Proficient in IT applications, including Microsoft 365 and Zoom.
  • Demonstrated experience in an Executive Assistant or Executive Support role.
