Decor Systems is Australia's leading supplier of architectural acoustic solutions. We collaborate with architects, designers, builders, and contractors to bring cutting-edge projects to life. Our work is featured in iconic projects such as the Sydney Theatre Company, The Playhouse Theatre in Canberra, the University of Queensland, and Capital Square in Perth.
We're growing and need someone with the drive, energy, and commercial acumen to join our A-team in Victoria. You'll work alongside the small but mighty Vic team to support projects across the state.
About the Role
We are seeking a dynamic and experienced Project Manager to assist with special projects, ensuring they are delivered in a smooth, timely and profitable manner.
This role is ideal for someone who thrives in the details – from estimating and scheduling to proactive risk mitigation and excels at leading others with confidence and clarity. You'll work closely with our Operations Manager, Sales Team, and Production to bring complex jobs to life, ensuring projects are delivered on time, on budget, and to the highest standard. Beyond managing tasks and timelines, this role requires someone who can influence outcomes through people, providing direction, building trust, and leading cross-functional teams through change and complexity.
The ideal candidate must have strong construction project management skills, experience in estimating and special projects, and a passion for delivering exceptional customer service.
Key Responsibilities
Project Management
- Identify and analyse critical paths for projects to ensure on-time delivery and efficient use of resources and budget.
- Create and maintain project schedules, including critical path management.
- Develop contingency plans to address potential delays or issues.
- Collaborate with stakeholders to identify potential roadblocks and proactively address them.
- Communicate project progress with the broader team.
- Monitor and track project milestones with the broader team.
- Utilise project management software (Asana) and tools to create efficiencies.
- Ensuring compliance with standards of performance, quality, cost and safety
Customer Management
- Work with the Operations and National Sales Manager to understand, prepare, and make recommendations to improve the accuracy and efficiency of customer quotes and estimating processes.
- Take the lead role in managing large and complex customer projects, working with the Sales Team, Production, Operations Manager, Architects and Engineers to ensure timely and accurate project completion.
- Work with the sales team and production to create prototypes that will assist the business in winning more business, optimise production cycles, and minimise costs.
- Continuously look for other solutions for customers in quotes, either based on cost or ease of manufacture and client installation.
- Develop and maintain strong relationships with customers, partners, and suppliers to ensure project requirements are met and exceeded.
Process Improvement
- Identify material and factory cost-saving ideas to achieve revenue growth goals.
- Foster a culture of continuous improvement, always seeking to identify ways to streamline processes and improve project outcomes.
Performance Management
- Maintain a DIFCOT (Delivery in Full, Complete, and on Time) to business standard.
- Monitor project performance and provide regular updates to senior management, highlighting any risks or issues that may impact project delivery.
Leadership
- Provide direction and clarity to cross-functional project teams — setting expectations, managing priorities, and ensuring alignment.
- Lead by example with strong communication, accountability, and follow-through.
- Coach and mentor team members to build capability and confidence.
- Act as the central point of coordination for all departments involved in special projects.
- Navigate difficult conversations with professionalism and influence, ensuring alignment on goals and execution.
- Champion a positive, high-performance culture across teams.

What you bring
- Relevant tertiary qualifications and at least 2 - 3 years of commercial project experience
- Strong construction project management skills with experience in estimating and special projects.
- Excellent communication skills with the ability to work with multiple stakeholders.
- Strong problem-solving skills with the ability to identify material and factory cost-saving ideas.
- Experience in managing large and complex customer projects, focusing on delivering exceptional customer service.
- Confident leadership skills with experience managing cross-functional teams or project-based resources.
