
Dental Client Care Representative

MC Dental are seeking a motivated and personable Client Care Representative to join our Client Care Team. Acting as a key point of contact for patients across all clinics, you will assist with inbound and outbound communication, recall management, appointment coordination, account follow-ups, and front office administration.
This is a phone and systems-based position, suited to candidates who are highly organised, solution-focused, and passionate about delivering excellent customer service — even behind the scenes. If you have had previous experience in the dental industry we would love to hear from you
Objectives of the Role (Key Responsibilities)
- Handling high volumes of inbound and outbound calls with professionalism and empathy.
- Support recalls, lapsed patients, incomplete treatment follow-ups, and FTA/cancellation outreach.
- Follow up on outstanding accounts and provide support to clinic teams with managing bad debts.
- Communicate relevant information to patients regarding available treatments and current promotions, ensuring all questions and concerns are addressed clearly and accurately.
- Own each patient interaction through to resolution, including appropriate escalation follow-ups, accurately documenting all patient interactions and outcomes.
- Meet and exceed individual and team KPIs including call quality, service level, and follow-through targets.
- Deliver natural, patient-focused communication using approved scripts where relevant.
- Support front office administrative and ad-hoc tasks as required.
- Collaborate with both clinical and administrative staff to ensure a smooth patient experience.
- Recommend process improvements to enhance both internal workflows and patient satisfaction.
Skills & Qualifications
- Dental background (e.g. dental receptionist, dental nurse) is highly regarded.
- Prior experience in a customer service role; preferably in a reception, administration or call centre role.
- Confident using practice management systems (training available).
- Excellent verbal and written communication skills.
- High attention to detail, strong documentation and data entry skills.
- Calm, professional, and empathetic approach to problem-solving.
- Ability to multitask and thrive in a fast-paced environment.
- Experience working with a multicultural client base and diverse workforce; proficiency in a second language highly regarded.
Working Conditions
- Onsite role based at the MC Dental support office in Richmond, VIC.
- Flexibility across 7-day roster (weekday, evening, and weekend shifts may apply).
