Are you reliable, highly organised, and passionate about delivering exceptional client service and administrative support? We're looking for a proactive and experienced professional to join our reputable and unique financial planning firm in a dual role that combines Client Service and Administrative Assistant responsibilities.
This is a rare opportunity to work closely with a high-performing team and make a meaningful impact on our client experience and operational efficiency.
About the Role
You will be the first point of contact for clients and a key support to our advisers and team members. Your role will span both client service and administrative functions, ensuring smooth day-to-day operations and outstanding service delivery.
Key Responsibilities
Client Service Duties:
- Implement advice recommendations for clients
- Initiate, lodge, and monitor client applications, asset transfers, rollovers, and other transactions
- Prepare and maintain client records, files, and correspondence
- Support advisers in preparing client reviews, scheduling meetings, and producing accurate reports
- Liaise with third parties regarding client matters
- Build and maintain strong client relationships through exceptional service
Administrative Duties:
- Answer incoming calls and welcome clients to the office
- Manage incoming postal and electronic mail
- Perform data entry and maintain records across multiple platforms
- Complete and submit various types of applications accurately
- Print, bind, scan, and file documents
- Monitor and manage office supplies and stationery
- Perform general clerical duties as required
Skills & Experience
- Minimum 2–3 years of experience in a similar client service administrative role
- Proven ability to deliver exemplary client service
- Strong written and verbal communication skills
- High attention to detail and accuracy
- Excellent time management and multitasking abilities
- Proficiency in Microsoft Office Suite.
- Experience with Xplan is desirable but not essential
- Ability to multitask, prioritise, and work independently
- Professional presentation and a positive, proactive attitude
- Full working rights in Australia and ability to pass background checks
