We are a nationally recognised Financial Services company seeking a dedicated individual to join our team as a Client Services Officer. About the Role:
As a Client Services Officer, your main responsibility will be to provide exceptional administrative support to designated Advisers. Your role will involve efficiently managing various business and administrative functions to ensure smooth operations, as well as acting as a reliable point of contact for our valued clients when the Adviser is unavailable. Strong written and verbal communication skills are vital for success in this role.
Your responsibilities will include but will not be limited to:
- Efficiently manage and coordinate appointments and schedules, including the coordination of client review appointments.
- Receive and handle telephone calls and correspondence, both electronic and postal, ensuring appropriate distribution and timely action.
- Assist in directed marketing activities, such as coordinating seminars, distributing client newsletters, and managing email campaigns.
- Provide assistance during client appointments as needed, including tasks such as photocopying, word processing, and ensuring client comfort.
- Update client portfolios in preparation for client reviews, ensuring accurate and up-to-date information.
- Assist with basic calculations related to financial planning activities.
- Support the preparation of Records of Advice and other correspondence for clients.
- Manage all paperwork required for various transactions, such as insurance, investments, superannuation, SMSFs, in-specie transfers, accounting data, and loans. Liaise with relevant parties as needed.
- Maintain client details, investments, review dates, and other relevant information in our financial planning CRM system (FORCe).
- Assist with meeting compliance standards and ensure organised management of client files.
- Provide assistance to other sections of the organisation as required, particularly during the absence of other team members.
To be successful you will possess:
- Strong written and verbal communication skills.
- Previous experience in a similar administrative or client services role.
- Ability to efficiently manage appointments, schedules, and correspondence.
- Proficient in using office productivity tools (e.g., MS Office).
- Knowledge of financial planning concepts and regulations.
- RG146 certification is desirable.
- Ability to work well within a team and independently.
- Excellent organisational and time management skills.
- Attention to detail and accuracy.
