About the role

The Asset Data Support Officer plays a key role in coordinating and delivering a range of asset data capture functions and services to maintain the quality and integrity of data within the Enterprise Asset Management System (EAMS). This position provides expert advice and support to statewide asset data capture and compliance initiatives, contributes to effective data management and reporting, and delivers insightful data analytics. The role supports operational teams to ensure accurate and timely recording of all asset acquisitions and disposals in EAMS. As a key liaison point between the Asset Portfolio, Finance, and Capitalisation functions, the position is actively involved across the entire asset lifecycle—from acquisition to disposal.

Key Responsibilities include

  • Coordinate and support the planning and delivery of a broad range of asset data capture functions and services that assist the EAMS team in executing TAFE SA's statewide asset data audit program.
  • Monitor and conduct asset data capture activities, including tasks related to plant and equipment legislative requirements, ensuring compliance with EAMS data standards, asset accounting policies, and safety and regulatory obligations.
  • Perform data quality assessments and gap analyses across multiple data sources, including the reconciliation of EAMS asset records with the Facilities Management Service Provider's Asset Register (AGFMA), and confirm that all assets are correctly linked to the Preventative Maintenance ASDP Program in EAMS.
  • Coordinate and undertake asset finance related tasks, including the identification of capital and operational expenditure, ensuring correct capitalisation and alignment with asset data in both EAMS and the general ledger.
  • Organise, participate in, and report on routine asset audits across all TAFE SA campuses to ensure all assets are accurately recorded and maintained within EAMS.
  • Build and maintain strong collaborative relationships across TAFE SA teams, providing guidance to ensure all asset acquisitions and disposals are appropriately recorded in EAMS in accordance with departmental asset accounting and financial policies.
  • Work in close partnership with TAFE SA management and staff to support the implementation of capital financial and accounting systems, policies, and procedures, ensuring alignment with departmental requirements. Provide technical advice relating to asset data capture, quality, and system integrity.
  • Plan, manage, and report on asset data-related projects, offering research, analysis, and support to the broader Facilities and Projects team, particularly in the areas of asset management, audit, and inspection.


Key Selection Criteria:

  • High-level verbal and written communication skills, with the ability to engage effectively with a wide range of stakeholders across all levels of the public sector.
  • Proven experience in coordinating, planning, and delivering comprehensive data capture, management, and analysis services across the full data lifecycle. This includes data monitoring and reporting, financial data reconciliation, and providing informed recommendations for improvement.
  • Demonstrated experience and sound knowledge in managing, extracting, and analysing data from corporate information systems. Proficiency in using Microsoft Excel to collate, analyse, and summarise complex data into concise reports.
  • Strong analytical and problem-solving skills, with the ability to apply initiative and sound judgment to research and resolve issues. Capable of selecting appropriate methodologies and documentation to enhance the efficiency and effectiveness of asset and/or financial data management systems and processes.
  • Demonstrated ability to work independently under limited direction, as well as collaboratively within a team environment. Proven capacity to exercise judgement and delegated authority in setting priorities, managing workloads, and achieving performance outcomes in dynamic and high-demand settings.
  • Knowledge and understanding of Aboriginal Culture and Community.

Special Conditions
The successful applicant is required to demonstrate having a valid DHS Working With Children Check (WWCC) prior to being employed. Applicants who do not hold a WWCC will need to apply at Department of Human Services (DHS).

  • Out of hours work will be required.
  • Some intrastate/ interstate travel and overnight absences may be required.
  • Incumbent will be required to participate in the department's Performance Development Program.
  • Eligibility to work in Australia.
