Matthews Dooley & Gibson is a Law Firm with offices at Blacktown and Baulkham Hills. We have a vacancy at our Baulkham Hills office for a Full time Receptionist/Junior Secretary position.
The successful candidate will be well presented and have a keen and positive personality with good communication skills. 1-2 years experience working in a Legal firm. Knowledge of LEAP software will be an advantage
Responsibilities will include:-
- Reception duties: answering phone calls, taking messages and greeting clients Diary management of appointments
- Collect, deliver, prepare and manage incoming and outgoing mail
- Typing of correspondence and documents (Dictaphone and from drafts):
- Collating and Completing Contracts
- Data entry (Time recording and disbursements)
- Stock control and ordering of stationery and kitchen supplies
- Opening files
- Culling and closing completed files
- Filing, photocopying and scanning
- Other administrative/clerical tasks as required.
We are seeking a person to assist 3-4 professionals, and work under the supervision of and alongside a senior secretary of the firm:-
- Demonstrated high quality experience in a Legal Firm in the capacity of Secretary/Administrative Assistant role
- Experience with LEAP would be an advantage
- Highly organised with attention to detail and accuracy
- Strong multitasking and prioritisation skills, working in a fast-paced and busy office environment.
- A strong work ethic and proactive approach
- Be able to work within a team as well as individually
- Be well presented and have a "can do" attitude
