About the role

Full time permanent position based in either Parkville, VIC or North Ryde, NSW. Reporting directly to the Creative Services Manager, you will be responsible for:

• Overseeing the intake, review, and qualification of creative briefs to ensure clarity, completeness, and alignment with requirements
• Developing and managing centralised systems for project tracking, brief management, and asset organisation
• Creating and maintaining production schedules and timelines across creative disciplines, ensuring effective workload and resource allocation
• Facilitating team planning meetings, managing task prioritisation, resourcing, and workflow efficiency
• Coordinating review and approval processes, ensuring feedback, compliance, and final deliverables meet specifications
• Maintaining integrated marketing and communications calendars to synchronise campaigns across multiple channels
• Partnering with internal teams, external vendors, and stakeholders to deliver projects on time, within budget, and to standard
• Identifying process improvements, document workflows, and reporting on team capacity, progress, and resource utilisation

About you

To be successful in this role, we are looking for someone with the following:

1. Tertiary degree in Marketing, Business Support or Communications, or lesser formal qualification with substantial relevant experience
2. 2-3 years of experience in a traffic coordination or production management role within a creative, marketing, or agency environment
3. Demonstrated proficiency with project management software (such as Wrike, Asana, , or similar platforms)
4. Experience managing creative workflows across multiple disciplines (design, copy, video, digital, etc.)
5. Proven ability to manage competing priorities and maintain calm under deadline pressure
6. Background in creative project coordination with understanding of creative production processes and terminology
