Maintenance Services Coordinator

At Baxter Facility Maintenance Services, we're the central hub for home and business owners across Melbourne who'd rather leave the organising of good, reliable tradespeople to someone else. With 25 years' experience in building services and maintenance, we understand the industry, speak the tradespeople's language and deliver for our clients. As our portfolio grows, we're looking for someone to join our team and keep things running smoothly.
The Role:
You'll be our Service Coordinator, working from our Bundoora office weekday mornings (10am-3pm). You will manage the booking calls and emails, coordinate preventative and urgent maintenance across our domestic home portfolio, liaise between clients and trades, ensure quality outcomes and keep our operations organised and efficient.
Key Responsibilities:
- Receive and handle booking calls and emails from clients.
- Coordinate, schedule and follow up on maintenance and urgent service requests.
- Liaise with tradespeople: negotiate, brief them, manage their tasks and ensure efficient delivery.
- Monitor and track the work, ensuring client satisfaction and quality outcomes.
- Maintain accurate records of service tasks, client communications and trades activities.
- Work proactively to identify upcoming preventative maintenance needs and support our processes.
- Communicate kindly, clearly and professionally with clients, trades and our internal team.
- Use intermediate/advanced computer skills to raise job tickets, enter work orders, update our CRM system, manage data and generate reports.
What We're Looking For:
- A minimum of 3-5 years of building services or construction industry experience is required for this position.
- Proven ability to coordinate services for building maintenance tasks (preferably domestic or multi-property).
- A strong commitment to customer service and achieving high quality outcomes.
- Excellent organisational and planning skills: you're methodical, reliable and have an eye for detail.
- Proficiency in MS Office, scheduling software, and database skills are all essential requirements for this role.
- Outstanding interpersonal and communication skills: you're calm, friendly, professional and can deal with multiple stakeholders (clients, trades, team).
- Satisfactory completion of a National Police Records Check.
- Valid working rights in Australia.
Working Hours & Format:
- Part time: Monday to Friday, 10am to 3pm.
- Working from our Bundoora office (with flexibility as required and agreed).
- You'll be part of a small, friendly team working in a specialist maintenance services environment.
