Position: Dental Receptionist

We are looking for a dental receptionist for our clinic based in Windsor, NSW. A detailed description of a dental receptionist is mentioned below:

RESPONSIBILITIES

  • Greet patients, visitors and vendors in a friendly and professional manner.
  • Manage incoming calls, directing them to appropriate departments or personnel.
  • Schedule appointments, confirming patient information and medical history.
  • Answer inquiries about appointment availability, wait times, and general clinic information.
  • Notify medical staff of patient arrivals and delays.
  • Assist new and returning patients with registration forms and paperwork.
  • Maintain patient records and ensure data confidentiality.
  • Provide patients and visitors with necessary information about clinic services, procedures, and policies.
  • Collect co-payments and outstanding balances, issuing receipts.
  • Facilitate a smooth check-out process, scheduling follow-up appointments if necessary.
  • Relay urgent messages and information to appropriate staff members promptly.
  • Handle patient concerns, complaints, and inquiries professionally and tactfully.
  • Escalate complex issues to the appropriate management or supervisory personnel.
  • Keep the reception area clean, organized, and inviting.
  • Ensure reading materials and resources are readily available for patients.
  • Assist with administrative tasks such as filing, data entry, and managing office supplies.
  • Support other clinic staff members with clerical duties as needed.
  • Liaison between dentists, dental hygienists, and other dental staff to ensure efficient patient flow, effective communication, and smooth operation of dental office.

QUALIFICATIONS

  • Overseas dentists are highly preferred.
  • Preferrance for those who has experience in dental industry
  • High school diploma or equivalent; additional education or training in healthcare administration is a plus.
  • Certification in office administration, medical administration, or a similar field is an advantage.
  • Proficiency in using computers, including basic software and clinic-specific applications.
  • Knowledge of medical terminology, insurance processes, and clinic procedures is beneficial.

DESIRABLE COMPETENCIES AND EXPERIENCES

  • More than 2 years of experience working as a receptionist in medical or health administration area
  • Good knowledge of the English language
  • Must be able to learn new software challenges
  • Must possess good working knowledge of MS-Word and MS- Excel
  • Must possess strong communication skills and the ability to work well with patients of all ages and backgrounds
  • Must maintain a high level of ethics, honesty and integrity
  • Should have good organizational skills
  • Excellent customer service skills
  • Empathy and patience when dealing with patients and their concerns.
  • Ability to maintain composure in a fast-paced and sometimes stressful environment.
