Job Description
This is a pivotal role for an experienced and ambitious Executive Assistant who thrives in an agile environment and is passionate about enabling senior leaders to focus on what matters most. As the Executive Assistant to the Deputy CEO, you will be a trusted partner who ensures priorities are clear, time is optimised, and strategic objectives are advanced. You will be responsible for managing complex schedules, anticipating needs, and creating space for the Deputy CEO to focus on high-impact work.
This is a career-shaping opportunity to work at the centre of Australia's largest plaintiff law firm, gaining exposure to decision-making at the highest level. You'll have scope to use your initiative and business acumen to streamline processes, identify bottlenecks, and leverage technology to improve workflows.
This role is based in-person in our Melbourne CBD office Monday-Thursday with the option to WFH on Friday.
Key Responsibilities:
- Administrative Support: Provide high-quality, confidential administrative support and project coordination whilst prioritising competing demands.
- Meeting Coordination: Plan and coordinate meetings, prepare briefing materials and ensure the Deputy CEO is well-informed for meetings and decisions.
- Strategic Support: Enable the Deputy CEO to focus on high-impact priorities by managing workflows and anticipating needs.
- Stakeholder Liaison: Act as a liaison for the Deputy CEO, engaging confidently with stakeholders across the organisation and externally, maintaining strong professional relationships.
- Board and Committee Papers: Prepare, edit, and distribute Board and Committee papers and associated correspondence, ensuring accuracy and timeliness.
- Action Item Monitoring: Monitor and update action items for various executive meetings, ensuring follow-up and completion of tasks.
- Document Management: Draft, edit, and distribute correspondence, documents, and presentations as required, maintaining a high level of professionalism and attention to detail.
About You:
- Experience: Proven track record as an Executive Assistant supporting senior leaders in a complex environment.
- Organisational skills: Ability to multi-task and work independently, planning, coordinating and organising people and projects in a future focussed environment.
- Technical literacy: Well-developed information technology skills (Microsoft Suite) and an interest is using AI and other advanced tools.
- Communication skills: Exceptional interpersonal skills and the ability to build rapport with stakeholders at all levels.
- Analytical skills: Ability to connect the dots, solve problems, and escalate where appropriate.
- Confidentiality: High level of discretion and ability to handle confidential and sensitive information.
