**Role**:
As the Executive Assistant, you will provide support to the Managing Director, ANZ and up to two Vice Presidents within APJ region
The Executive Assistant will perform, coordinate and oversee administrative duties while providing an extensive level of support to the Managing Director & VPs.
As this role will be providing support to a number of senior leaders within the organization, the incumbent may have access to confidential and sensitive information. To this end, the incumbent is expected to exercise a high degree of confidentiality, discretion, independence, proactiveness, flexibility and availability for optimal support to the respective business leaders.
The Executive Assistant must be competent in performing tasks with mínimal support and demonstrates strong willingness, resilience, and professionalism when handling difficult situations. He/she should also be proficient in managing competing priorities. Must have outstanding time management and organizational skills, relying on expertise and sound judgment to plan and accomplish goals.
**Key Responsibilities**
- Manage and maintain complex and changing calendars, schedule appointments/ internal and external meetings, travel, and organizational functions.
- Screens all incoming correspondences to support the executive in prioritizing the required follow-up and/or actions.
- Provide proactive administrative support, with a keen ability to anticipate the needs of the executives and organization to optimize their time, and identify and initiate/facilitate thoughtful solutions and recommendations.
- Key liaison contact for ensuring the customers, partners or distributors, and internal company executives, are being hosted/attended to in a professional and timely manner, and that they fulfill Nutanix’s requirements when in office premises.
- Be a culture ambassador and collaboratively works closely with all employees within Nutanix to foster a positive work environment.
- Coordinate and organize regular LT team meetings (e.g., weekly LT meetings, and QBR’s), including support in developing the agenda, taking accurate meeting minutes, managing action items & working with ANZ SLT to follow through on them in a timely manner.
- Administration support for ANZ team for procurement (raising purchase orders for suppliers, invoicing to finance dept, liaising with suppliers re: payments, tracking PO numbers.
- Event organizing and management for ANZ region, including the planning and management of Sydney onsite Bootcamp etc.
- Assist expense reports through relevant systems
- Performs other functions such as organizing and filing confidential files and records systems of the organization, preparation of recurring internal reports, maintaining contacts/customer database, etc.
- Play an active role in creating a safe and healthy workplace and comply with all applicable safety and health rules.
- Provide administrative support and cross-coverage Administrative Executive Assistant and administration staff, with other EA’s in region as necessary.
