Position Overview
We are currently seeking a capable and proactive Program or Project Administrator to support the coordination and administration of government-funded infrastructure and development projects.
This role involves working alongside senior project managers, engineers, and external consultants to ensure programs and project streams are delivered effectively — on time, on budget, and in alignment with regulatory and contractual requirements.
Key Responsibilities
Coordinate project documentation, scheduling, and administrative processes across infrastructure programs
Support senior project staff in tracking progress, budget status, risks, and deliverables
Prepare and manage internal registers including variations, RFIs, defect lists, and status logs
Liaise with external contractors, consultants, and council/government representatives on approvals and reporting
Assist in procurement administration, stakeholder coordination, and milestone tracking
Contribute to compliance and quality assurance documentation (e.g. WHS, environmental, contractual)
Support communication between delivery teams, internal leadership, and external partners
Assist in the preparation of project reports, presentations, and client briefings
Required Qualifications and Experience
A recognised qualification at AQF Diploma level or higher in Project Management, Business Administration, Engineering, or a closely related field
At least 1 year of relevant experience in project or program administration within the infrastructure, construction, or development sectors
Strong written and verbal communication skills with an ability to coordinate across disciplines
Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and project tracking tools such as MS Project or Smartsheet
Familiarity with documentation and reporting standards in government-funded or council-led projects
Ability to manage competing priorities, deadlines, and stakeholders with a calm and structured approach
Exposure to civil infrastructure, public works, or planning-related environments is highly regarded
