**Summary of Role**: Providing full administrative support to the Director in the operation of CMX Group.
**MAIN DUTIES/RESPONSIBILITIES**:
- Maintain the diary for the Director - appointments for new customers.
- Prepare quotes on the instruction of the Director and send them to customers.
- Receive job orders (new projects/sites) either from Director or directly from customers. Schedule into project diary selecting best-suited employees to complete project and notify.
- Maintain employee/contractor rosters and ensure projects/jobs are staffed. Liaise rosters with Director and make amendments as required.
- Arrange meetings with employees/contractors.
- Ensure supplies and materials are available to employees/contractors for projects/jobs. On direction of Director, order additional supplies/materials required.
- Arrange all outgoing mail.
- Receive telephone calls.
- Make telephone calls on behalf of Director.
- Receive and action all invoices received by suppliers and make payments.
- Manage all paperwork associated with employees and contractors on induction.
- Prepare reports to Director.
- Overall file/documentation filing/organisation.
- Basic bookkeeping - payments, payroll, keeping records.
- Other tasks as directed by Director.
**SKILLS & EXPERIENCE**
**Qualifications**: Minimum Diploma of Business or Management or other relevant areas
**Experience**:3 years of previous experience in a similar role
**Skills**:
- Advanced Microsoft Office skills (Word, Excel, PowerPoint and Outlook).
- Knowledge of QuickBooks and ServiceM8 is a plus.
- Excellent verbal and written communication.
- Portuguese and Spanish desirable.
- Good customer service and relationship skills.
- Organised and able to meet deadlines.
**PERFORMANCE GOALS**:
- Complete administration tasks on time.
- Deal with customers, suppliers and employees/contractors professionally at all times.
- Ensure projects are done on time and keep good communication with customers.
- Maintain Director informed at all times.
**Salary**: $56,500.00 - $59,900.00 per year
Schedule:
- Monday to Friday
