We’re looking for an enthusiastic and highly organised Administrative Assistant to join our Sydney office and become a key part of our Business Administration team.

**The Opportunity**
SCP has a great opportunity for someone who thrives in a fast-paced, detail-oriented environment and wants to make a tangible impact across project and office operations. You’ll support project staff, directors and the wider team with administrative tasks that ensure smooth day-to-day functioning.
You’ll be involved in everything from proposal preparation and project set-up to invoicing, event coordination, and office support. You’ll be joining a friendly, high-performing team where your contribution is valued, and your development supported.

**Key Responsibilities**
**Project & Administrative Support**
- Register and manage new projects in project management software - Synergy.
- Assist in preparing EOIs, fee proposals, and tender submissions.
- Support documentation tasks using Word, Excel, PowerPoint, Canva, and Synergy.
- Prepare and issue invoices, manage project fees and reconcile payments.
- Maintain and update project data sheets, CVs, and capability statements.
- Use and support project platforms including Aconex, iTWOcx, PayApps and Procore.
- Ensure compliance with internal Integrated Management System (IMS) procedures.
- Support technical staff with project administration and coordination.
- Collaborate with national project teams.
- Participate actively in team meetings, contributing insights and suggestions for process improvements and operational efficiencies.
**Office Support**
- Manage front-of-house operations including answering phones, booking couriers, maintaining supplies and equipment and general upkeep of the kitchen and office.
- Order and maintain office supplies and equipment.
- Liaise with building management for access, repairs and services.
- Coordinate travel and accommodation for staff and directors.
- Organise company social events and internal activities.
- Assist with onboarding and offboarding of team members.
- Perform general ad hoc tasks as needed to support overall office operations and administration.
**About You**
You’re someone who takes initiative, has strong communication skills, and enjoys juggling a variety of tasks with professionalism and care. Ideally, you’ll bring:
- Prior experience in administration (engineering or professional services preferred).
- Excellent organisational and multitasking skills.
- Excellent written and verbal communication skills, enabling effective interaction with team members and stakeholders.
- High attention to detail and a proactive approach.
- Confidence in working with Microsoft Office, Canva, and project management systems.
- A collaborative mindset and strong team spirit.
- Professional presentation, punctuality, and commitment to continuous learning.
