Your Opportunity

**As the Executive Officer you will**:

- Manage the process for the distribution, tracking and receipt of correspondence to and from regions and branches of the department to ensure that requests are processed promptly.
- Coordinate with, and provide support for, regions and branches within the department to ensure that correspondence is processed within the documented timeframes.

The Executive Officer reports to the Manager, Office of the Deputy Director-General, Schools and Student Support Division.
Your Role

**A typical day in this role will see you**:

- Process Ministerial, Director-General and Deputy Director-General documents accurately, in accordance with central office records management policy and systems to ensure a service that meets or exceeds agreed standards.
- Liaise with the Deputy Director-General, Assistant Directors-General of State Schools and staff from the Office of the Minister and the Office of the Director-General regarding items of correspondence.
- Monitor and record work volumes so that statistical information will enable periodic evaluations to be conducted.
- Maintain electronic filing and information retrieval systems.
- Assist with the preparation of responses to sensitive and confidential correspondence directed to the Minister and Director-General.
- Respond to complaints or inquiries from within and outside the unit in a courteous manner and within appropriate timelines.
- Liaise with officers at all levels of the department, other government agencies, educational institutions and organisations, the private sector and community representatives.
- Coordinate with regional and Branch Executive Officers to ensure a continuous flow of work, to clarify objectives and to monitor and finalise tasks.
- Regular review of executive correspondence management systems and processes.
- Encourage an environment in which high quality services are delivered by continually seeking improvements in administrative systems and processes by leading by example and seeking feedback from all stakeholders.
