**The role**

Due to an internal promotion, we are seeking a motivated and professional Personal Assistant. As the PA you will need to anticipate and prioritise the Associate Director’s needs with your knowledge and awareness of the key initiatives and challenges in our business environment.

Your primary function will be to support the Associate Director and team in areas such as interaction with senior management; communications; staff events; presentations; scheduling internal and external meetings; management of travel itineraries; follow-ups with key projects; co-ordination of CEO papers and updates to the Board of Directors.

Provide support to the Associate Director and team, including.
- Coordination of meetings, meeting minutes, and department actions.
- Calendar management, liaising with internal and external stakeholders.
- Coordination of team offsites and team building initiatives for both departments and providing support to the division EA for division-wide initiatives.
- Co-ordination and routines for regular communication
- Implement, monitor, and maintain departmental dashboards, organisation charts, reporting, and intranet pages.
- Coordination of HR forms and processes, ensuring the timely submission of electronic forms in conjunction with Payroll, HR, and Workforce Planning.
- Coordination and monitoring of progress of IT and facilities requests.
- Support the Division EA in overseeing department Reward & Recognition budgets, expenditures, gift purchases, and registers.
- Support the Division EA in the monitoring of departmental cost centre expenditure and ensuring timely processing of expense claims and credit card reconciliation in line with company policy.
- Provide assistance with business unit events and engagement initiatives including End of Financial Year and End of Year Celebrations.
- Travel arrangements including accommodation, hire cars, transfers, and chargebacks.
- This role will be based out of our North Lakes office with occasional travel to our Kawana & Toowong offices. Leadership and work direction for 1x admin support

**What experience you’ll bring**
- Previous experience in a secretarial/administrative role.
- Proven diary management and organisational skills.
- Excellent written, interpersonal, and verbal communication skills, with proven ability to build and maintain relationships across all levels of the organisation.
- Experience with Google software suite is an advantage.
- Resourceful and logical thinking with excellent attention to detail. Enthusiastic self-starter with an excellent ability to multi-task, prioritise and work under pressure.
