**The opportunity**
Vacenti is seeking a Full-timeOffice Manager to join our lovely team at our Corporate Office located at Upper Mount Gravatt.Reporting to and working closely with the HR Manager and members of our Executive Team, this role will be responsible for managing the day-to-day administrative functions of the Corporate Team, performing personal administrative duties for the CEO, and general support for the Executive Team. This role will also oversee the reception area and ensure a professional and welcoming environment for visitors. This position plays a key role in promoting effective communication between departments, our residents, families, and community.
**Your main responsibilities will include**:
- Managing the reception area and greeting visitors.
- Coordinating and scheduling appointments, meetings, and events.
- Managing calendars for executives or team members.
- Organising and maintaining physical and digital filing systems.
- Ensuring data accuracy and updating records as needed.
- Monitoring and ordering office supplies.
- Preparing meeting or training rooms with necessary materials and equipment.
- Recording meeting minutes and distributing them to relevant parties.
- Providing administrative support to various departments or team members.
- Entering and updating information on Vacenti systems.
- Assisting in planning and coordinating office functions.
- Maintaining records of expenses, invoices, and receipts.
- Maintain and organise the Shared Services office so it is suitably presentable.
- Performing other duties as reasonably required.
**To be considered, you will need**:
- A current National Police Certificate.
- Current Drivers Licence, and a willingness to travel between locations.
- Proven work experience as an Executive Assistant, Senior Administration Officer or similar role.
- Demonstrated ability with online calendars and scheduling.
- Highly developed communication skills (written and verbal) and effective interpersonal skills in a busy environment.
- Sound research and analytical skills.
- Excellent customer service and social skills, able to operate with diplomacy, tact and empathy.
- A high degree of personal organisation and self-management.
- Comfortable working to tight deadlines, and ability to turn work around within a short time span.
- Ability to think proactively and laterally to maximise opportunities to promote the work of the Home.
- Experience exercising discretion and confidentiality with sensitive company information.
