The HSEQ Support Coordinator works closely with the Food Safety & Quality Manager and Health Safety & Environment Manager, who have overall ownership of the relevant HSEQ systems, and is responsible for the systems at the tactical and day to day operational levels. This includes the setup
and overall functionality of the digital systems, quality of documentation, follow-up of employees responsible for actioning items and embedding system requirements into the business. A versatile approach is required as the incumbent will be required to undertake a number of other technical or
administrative responsibilities and tasks associated with the activities of the Food Safety & Quality and Health Safety & Environment areas.
**Incident Database**:
- Overall accountable for the management of the local incident database
- Continuously review status of open WHS, Hazards, Environment and NCR’s reports. Follow up with owners to get actions progressed and closed out
- Manage Skretting Australia’s content in the Global incident database, ensuring we meet all requirements. Take a lead role for Skretting Australia in any global HSEQ system changes
- Regular reporting against HSEQ metrics, with emerging risks and trends identified early and reported
- Bring transparency to the data, providing insights and commentary to make it meaningful, causing appropriate action to be taken
**Document Management System**:
- Overall accountable for the management of the local DMS
- Continuous review of system to identify out-of-date documentation and take follow up actions
- Maintain overview of the quality of the documentation owned by all Areas. Highlight to document owners where improvement is required and help them to overcome any obstacles in updating
- Work closely with the Food Safety & Quality Manager to develop and integrated HSEQ and whole of business documentation system
- Manage Skretting Australia’s content in the Global document management systems, ensuring we meet all requirements. Take lead role for Skretting Australia in any global document management system changes Development of Document Management System Content
- Develop, maintain and review HSEQ-owned procedures and other associated documentation
- Identify the need for updated documentation to meet both business and legislative requirements
**Training Database**:
- Overall accountable for the management of the compliance training database, maintaining the integrity of our compliance training
- Ensure all training records are captured and up-to-date and upcoming training requirements communicated to relevant employees and supervisors.
- Follow-up to ensure updated records are provided and escalate where there is expiration or potential expiration of a licence or certification
- Take lead role in any projects associated with capture and recording of training data
**Internal Audit and Monitoring Programs**:
- Overall accountable for the management of the internal audit program Develop audit schedules and co-ordinate actions
- Ensure that all issues identified through audits are escalated through the correct channels for action to be taken
- Follow-up where audits are not being undertaken to get action
- Participate as a member of the NBSF audit team
**Systems Training**:
- Provide training and support for others in using any systems that this position is responsible for
- Proactively offer training and/or information to users related to the systems Safety & Compliance Training
- Identify compliance training needs and maintain in Training Plan.
- Ensure that recurring training requirements are included (e.g. wardens, first aid, emergency response) and that all training requirements are implemented
- Undertake the work to get compliance training programs in place. This includes (as relevant): developing content, uploading into Workday and making arrangements with external providers and employees
**Track and Trace (Graphical Lot Tracker)**:
- Designated Opco key user for Global Track and Trace system
- Maintain local Track and Trace capability by testing the system according to Global standards, escalating issues and work with global and local to improve
- Responsible for Track and Trace using the Graphical Lot Tracker in Food Safety Crisis
Food Safety and Quality
- Responsible for completing Food Safety monitoring reports
- Actively participate in local risk assessments and regular global HACCP control point verification and validation
- Undertake a variety of technical and administrative responsibilities and tasks associated with the area of Food Safety & Quality Health, Safety & Environment
