Your Opportunity
**As the Asset Officer, you will be responsible for**:
Work with and support the Director, Asset Planning and Management and Principal Infrastructure Projects & Assets Officer to manage and coordinate internal and external workflows relating to the investment of capital and maintenance infrastructure as well as capital equipment;
Provide advice and expertise on TAFE Queensland asset policies and procedures.
Be responsible for the provision of administrative and financial services to the Facilties and Asset network and act as a central contact for TAFE Queensland regions.
This position reports to the Director, Asset Planning and Management.
This is a Temporary, Full-Time opportunity through to January 2026 unless otherwise determined.
The position will be based primarily at Mount Gravatt campus, however you may be required to perform work at other TAFE Queensland campuses.
Key Responsibilities
Support the Director, Asset Planning and Management and Principal Infrastructure Projects & Assets Officer in the development of capital project functional briefs, the review of design plans, responding to requests for information and matters relating to practical completion handovers.
Support the Facilities and Asset Network and multiple Project Advisory Groups, by undertaking reporting activities and providing secretariat duties, including meeting coordination, minute taking and following up on actions, as required.
Assist in escalating regional maintenance variation requests to the Asset Planning and Management Team, ensuring supporting information provided is in accordance with agreed annual maintenance program communication protocols (TAFE Queensland / DTET Asset Management MOU).
Assist the Director, Asset Planning and Management with the preparation of the annual maintenance end of month reporting for General Managers and Chief Financial Operating Officer.
Assist in developing a future looking (rolling 3-5 year) planned maintenance program to assist DTET in the annual planning process.
Assist in the implemetation of the Equipment Investment Program and infrastructure training related equipment requirements.
Develop and maintain a central register of room booking and leasing arrangements managed by TAFE Queensland, in line with the Asset Management MOU (DTET / TAFE Queensland).
Assist the regions to recoup appropriate expenses to DTET, in line with Asset Management MOU (DTET / TAFE Queensland).
Ensure TAFE Queensland energy invoices are processed, including maintenance of supporting spreadsheets and prepare annual (monthly if required) other data analytics as required.
Administer the asset information management system (i.e. Archibus) from a TAFE Queensland perspective and work collaboratively with DTET and DHPW on system related issues where required.
Assist in the development of a review timetable for asset related policies and procedures and provide recommendations to the leaders of the TAFE Queensland Asset Team.
Prepare and process other asset related purchase orders and invoices, as required.
Undertake a range of supporting activities in relation to asset management and planning, as required.
How you will be assessed
The ideal applicant will be someone who has the following key capabilities:
Demonstrated experience in asset management related roles.
Demonstrated high level interpersonal, communication, skills and abilities including liaison, consultation and negotiation in dealing with internal and external stakeholders.
Demonstrated high levels of conceptual and analytical skills as evidenced by the ability to research and develop solutions to complex situations, and clearly document work flows and systems.
Demonstrated knowledge and ability in utilising and administering financial / asset management systems.
Knowledge of or the ability to acquire knowledge of, legislation, government policies and accounting guidelines in relation to the effective management of assets within a public sector environment.
