**About the Role**
The Data Governance Specialist: Unstructured Data is responsible for the efficient and systematic management of PEXA’s unstructured data (records). This includes the creation, retrieval, organizing, and disposal of both physical and electronic unstructured data in accordance with legal and regulatory requirements and PEXA policies.
The Data Governance Specialist: Unstructured Data also coordinates physical and digital document transfer processes. They oversee the storage and digitization of archives. They also drafts reports and keep files up to date. They will also supervise indexing and classification of all unstructured data.
The implementation of data protection measures and ensuring that they work is a key deliverable of this role.
**Key Accountabilities**:
- Implement unstructured data policies and procedures for recordkeeping, storing documents and record retrieval when needed.
- Ensure compliance with legal and regulatory requirements across all PEXA geographies and jurisdictions.
- Manage the organization's physical and electronic unstructured data.
- Maintain an unstructured data classification and retention schedule. Commonly called ‘RDA’.
- Train staff on unstructured data policies and procedures
- Ensure the classification, confidentiality, and security of all unstructured data.
- Conduct regular audits to ensure compliance with policies and procedures.
- Coordinate the archival or disposal of records in accordance with Records Management Policy.
- Organise training to all PEXArians to promote good data management and storage practices throughout PEXA.
- Troubleshoots difficult problems or situations and takes independent action to resolve them
**Skills and Experience**:
- Bachelor’s Degree with a specialization in Archives and Record Management.
- Five (5) years of experience implementing corporate wide records management program. Multi jurisdiction experience and advantage.
- Working experience with Microsoft Office Suite and a records management software product, preferably Record Point.
- Electronic Records Management certification and Certified Records Manager certification highly regarded.
- Strong working knowledge of Excel.
- Organized, detail-oriented, accurate and efficient.
- Excellent written and verbal communications skills including strong presentation development and execution ability
