NextGen Jobs is hiring a Business Administration Trainee to support the Department of Families, Fairness & Housing. Do you have an interest in working for the government while earning a **Certificate III in Business Administration**?

This **12 month traineeship** based in Ballarat provides support to the Community Operations and Practice Leadership Division (COPL) to ensure the department can operate in an effective and efficient manner.

**Role description**

The administrative related functions in this Division concern area-based service delivery, Corporate Services, Population Health, Public Health, Aboriginal Outcomes, Agency Performance, Quality and Service improvement, Disability Services and Child Protection Services.

The COPL Division provides support to the Central Highlands Area of Ballarat and the West Division, including: Geelong Barwon Area and Western Melbourne Area.

**Key accountabilities**

1. Undertake a range of administrative functions to support the operation of the work unit as required and, under general direction, participate in the development and implementation of new processes and systems.

2. Perform computer-based tasks including preparing and sending standard written communications.

3. Communicate and liaise effectively with managers, staff and community networks to assist in the professional operation of the area.

4. Coordinating meetings and assist in preparing agendas and note-taking when required.

5. Input data and information to the department’s databases and systems.

7. Keep accurate and complete records of your work activities in accordance with legislative requirements and the department's records, information security and privacy policies.

8. Handling and filing of electronic confidential documentation to the department’s database.

9. Supporting tasks within the department’s OurBriefings correspondence system.

10. Risk reporting - where you become aware of domestic violence and/or children at risk escalate to senior staff.

11. Take reasonable care for your own health and safety and for that of others in the workplace by working in accordance with legislative requirements and the department's occupational health and safety (OHS) policies and procedures.

**Key selection criteria**
- Experience with MS Office programs such as Word, Excel and PowerPoint would be desirable.
- Customer service: actively seeks to meet customer needs; committed to delivering high quality outcomes for clients.
- Problem-solving: seeks information needed to solve work problems; identifies and proposes practical solutions to problems.
