**Position Overview**

The Executive Associate occupies a senior roll in Chambers and provides a high level of legal and administrative support to a judge of the Court. The Executive Associate works as a part of a small team within chambers to support the judge in managing and progressing cases efficiently and effectively. The Executive Associate may be called upon to prepare case summaries, proofread judgments and provide other legal support. The Executive Associate is expected to manage and organise the workload of the judge’s chambers to achieve required outcomes. This includes diary management and acting as the focal point of contact in chambers. The Executive Associate also manages correspondence, maintains court files to ensure they are accurate and up to date and maintains the orderly conduct of the judge’s work in chambers and in court.

**Major Activities**

The responsibilities assigned to the Executive Associate may vary between chambers, and from time to time, but typically will include the following:
Act as the main point of contact
- Act as the focal point of contact in chambers for other judges, registrars, other court staff, legal representatives, parties and other court users.
- Manage the judge’s diary and keep track of the progress of their matters with a view to being able to appropriately communicate with others on their behalf.
- Demonstrate professionalism, tact and discretion, including the ability to appropriately handle confidential and sensitive information.
- Manage visitors to chambers in accordance with judge’s schedule and priorities

Provide administrative support
- Be responsible for orderly administration of chambers, including managing correspondence, keeping court files and other records up to date and implementing document management systems in accordance with record keeping guidelines and the Court’s information management policy.
- Be responsible for the orderly conduct of the judge’s court work, including organising court listings, preparing materials for court and attending to court room logistics
- Undertake word processing
- Assist with any logistics for meetings, appointments and other commitments, including arranging official travel.

Provide legal support
- Develop and maintain systems to monitor the progress of matters, including monitoring parties’ compliance with court orders.
- Prepare case summaries
- Proofread draft judgments and orders, including verifying citations
- Assist with legal research and case management
- Assist the judge in court as required, including attending court, taking notes and appearances, keeping track of exhibits, etc

**Selection Criteria**
- Demonstrated ability to provide effective and efficient administrative support in a legal environment, including well developed organisation, prioritisation and time management skills.
- Excellent oral and written communication skills, including interpersonal skills, professionalism and an ability to appropriately handle confidential and sensitive information.
- Problem solving and analytical skills, including being able to demonstrate flexibility, innovation and sound judgement in decision making.
- Excellent attention to detail and accuracy, including proofreading skills.
- An ability to provide legal support, including undertaking legal research and understanding the Court’s jurisdiction, practices and procedures.
