**What this opportunity involves**:
We are seeking a driven and motivated Analyst to join us to be our Bids and Transitions team.
In this role, you will support the Head of Bids and Transitions to ensure the timely submission of bid responses and vendor transitions aligning with go-live readiness. You will be responsible for analysing data and ability to effectively communicate your finds / impact / recommendation to assist with the bids and transitions.
To be successful in this role, you will have an excellent communication skill with sound Excel proficiency to manage and analyse large and complex data sets. You will also be motivated and driven, and enjoys challenges through a variety of tasks so no two days are the same.
This is a hybrid role with two fixed day in the office (Wednesday and Thursday) in our Melbourne or Sydney CBD office.
**What this role involves**:
Compile, review and analyse bid documents and pricing templates to understand scope, technical requisites and required pricing structure.
Select the appropriate pricing methodology to ensure most competitive and high-quality pricing for submission. These include use of preferential pricing, benchmark data or engaging vendors for any client-specific scope and asset pricing.
Work with the Sourcing team to obtain inputs on vendors to engage and updated pricing templates.
Presents analytical recommendations to stakeholders and decision-makers
Include commercial trends, analysis and risk management in developing strategies
Ensure submission of bids on or before agreed submission date to SD.
Read and understand transition documents including Deal Summary, transition tracker, vendor list and scope matrix.
Lead the communications to incumbent new client vendors using standard communication templates including vendor letters, vendor data collection pack and registration form.
Receive, compile and track vendor responses to the communications to ensure completeness and accuracy and provide status report to transition team/stakeholders as required.
Regularly attend and actively participate in the scheduled weekly/transition and optimisation calls working closely with the regional or local transition-optimisation leads and cross-functional teams.
Ensure full hand-over of required S&P documents and tools during optimisation stage including provision of training to new members of the IFM team, as required.
Act as custodian of bid and transition documents including organising files and folders to ensure efficient storage and retrieval.
Respond to queries related to bids and transitions promptly within shortest time possible.
Bachelor’s Degree in Business / Commerce or related disciplines
Relevant work experience in IFM with knowledge of procurement for services related to facility management will be highly regarded, but not essential
Experience in bid response preparation and/or new business transitions will be an added advantage
Ability to manage, influence and negotiate with multiple clients, stakeholders and projects
Excellent communication and interpersonal skills with ability to liaise with stakeholders of all levels, including senior leaders
Sound Excel proficiency (intermediate to advanced level) with competency in financial modeling, feasibility studies and total cost of ownership analysis
A good level of commercial awareness with a demonstrable aptitude for identifying the commercial angle and employing strong negotiating skills.
Ability in managing and prioritizing multiple projects with competing timelines
Can work effectively both independently and in a team
