Reporting To: HR, Logistics & Systems Manager

Location: The Channon, NSW

As our Administrative and Project Support Specialist, you will play a crucial role in supporting the smooth operation of our business by providing high-level administrative and project management assistance. This position requires meticulous attention to detail, strong organisational skills, and the ability to handle confidential information with discretion. We are seeking someone with a background in human resources, office management, or as a personal assistant, who is comfortable managing diverse responsibilities and prioritising tasks effectively.

**Key Responsibilities**
- Manage calendars, schedule meetings, and coordinate appointments
- Provide administrative support for HR processes, including maintaining accurate employee records and handling confidential data
- Assist with drafting correspondence, contracts, and other key documentation
- Coordinate projects, including site or company-wide initiatives such as system roll-outs and events, ensuring timely delivery of objectives
- Develop and maintain systems and processes to improve operational efficiency
- Support recruitment activities, including screening resumes, scheduling interviews, and onboarding new employees
- Handle confidential customer and staff information with utmost discretion and professionalism
- Assist with general communications with customers as needed
- Support office management tasks, including procurement and supplier or contractor coordination
- Provide training and support for business software systems as required
- Collaborate with and support the HR, Logistics, and Systems Manager in day-to-day operations and strategic projects

**Key Requirements**
- Proven experience in an administrative or project management role, ideally in HR, office management, or as a personal assistant
- Demonstrated ability to manage multiple priorities and meet deadlines
- Strong proficiency in MS Office and experience with cloud-based systems
- Excellent organisational and time management skills.
- Exceptional attention to detail and accuracy.
- High level of confidentiality and discretion in handling sensitive information.
- Effective written and verbal communication skills.
- Proactive, collaborative, and team-oriented approach.
