Service & Spare Parts Coordinator

We’re looking for a **Service & Spare Parts Coordinator** to join our fast-paced, passionate team at our Broadmeadows site.

This is a hands-on, detail-focused role ideal for someone with strong admin skills, technical knowledge, and a love for helping customers and internal teams get the gear they need -quickly and efficiently.

You won't be afraid to get your hands dirty and assist with picking spare parts as required.

The role will require the successful applicant to be available for work on a full-time basis, **7.30am to 3.45pm Monday to Friday.**

**Key Responsibilities**
- Coordinate service orders, Return Authorisations (RAs), and warranty claims for (predominantly) Musical Instruments and some Pro Audio products.
- Communicate with internal teams and customers to track repairs and resolve support requests.
- Manage spare parts inventory — including forecasting, ordering, and accurate stock handling.
- Process service-related admin including invoices, warranty logistics, and return freight.
- Support Brand Managers by coordinating repairs, upgrades, B-stock checks, and product issue reporting.
- Assist with spare parts fulfilment: picking, packing, labelling, and stock placement.
- Use Microsoft Business Central to manage inventory and shipments (training provided).
- Contribute to a smooth, proactive team environment by showing initiative and flexibility across service and warehouse tasks.

**Required Skills & Experience**
- Strong organisational skills with excellent attention to detail and time management
- Confident communicator with well-developed written and verbal communication skills
- Basic troubleshooting capability and a proactive, solution-focused approach
- Comfortable working both independently and as part of a team
- Experience in inventory control or warehouse operations
- Proficiency with Microsoft Office (Excel, Word, Teams)
- Willingness to learn and use inventory/service systems (e.g. Microsoft Business Central)
- Interest in and experience with musical instruments.

**Highly Regarded Skills & Experience**
- Experience in service coordination, administration, or customer support roles
- Knowledge of service workflows, warranty claims, and spare parts handling
- Familiarity with Microsoft Business Central or similar inventory platforms
- An understanding of Electronics and/or a technical servicing background
- Understanding of order fulfilment and stock placement processes
- Prior experience supporting brand or product managers
- Forklift license is highly regarded but not essential.
- Automotive/other spare parts role experience would be an advantage but not essential.
