Job Description

**Key responsibilities**:

- Provide complex diary management for multiple Executives, including resolving scheduling conflicts, preparing agendas when required, and sourcing relevant documents ahead of meetings
- Coordinate and book meetings, calls, and Microsoft Teams meetings, both internally and externally
- Plan and book domestic and international travel, including flights, accommodation, car rentals, transfers, visas, and on-site meeting rooms
- Manage confidential documents and correspondence with discretion
- Schedule meetings for Executives at various locations (North Ryde, interstate offices, or external venues), managing all logistics including invitations, agendas, catering, flights, and accommodation etc., such as Weekly/Monthly/Quarterly department related meetings, conferences, events as required
- Support Executive teams with tasks such as coordinating customer and stakeholder meetings, scheduling training sessions, and arranging international travel for department team members. Liaise with the CFO for travel-related expense approvals when required
- Process and submit expense claims for Executives and approve team expenses on their behalf, ensuring compliance with Inghams' policy
- Organise catering and room setup for meetings as needed
- Collaborate with the broader Admin/EA team and provide backup support when necessary
- Provide project coordination support when requested by Executives, contributing to project success through cross-functional collaboration and alignment with the Inghams Way behaviours to ensure timely and high-quality outcomes

**Key requirements**:

- Proven Executive Support including 5 + years’ experience providing high-level administrative support to senior leadership including complex calendar management, meeting coordination, and communication handling
- A positive and flexible attitude, approaching every challenge with a can-do spirit, ready to roll your sleeves up and support where needed
- Strong interpersonal and business relationship skills
- Excellent communicator, able to handle communications with professionalism and clarity
- Confident and comfortable working autonomously and as part of a team
- Excellent organisation skills with the ability to manage conflicting priorities and stay one step ahead, anticipating needs before they arise
- Experience booking interstate and international travel and logistics
- Advanced in MS Office - Word, Excel, PowerPoint, Outlook and Teams
- Concur experience (or similar) for expense management and experience using ADP (preferred not essential)
