**Position**:Supply Chain Coordinator

**Reporting to**:Customer Service/Admin Manager

**Direct Reports**: N/A

**Objective: Goods In**

Coordinate the Supply Chain Activities for the Interclean Group, ensuring the right inventory arrives at the right time to Australia and delivered to the allocated Warehouse.

**Key Responsibilities**:

- **Supplier Purchasing**:

- Develop and review, in conjunction with the CEO and Customer Service/Admin Manager, the Supply Chain Schedule for each supplier (domestic and international).
- Establish and maintain key relationships with Suppliers and document contact list, indicating best approach for communication, follow up and escalation. Update JIWA for with any changes.
- Review BI Dashboards & JIWA for stock levels and provide summaries to the Management team.
- Set Up Supplier Orders in the system based on review of Inventory Stock levels, Sales from IMS and Distribution Team, as well as proactive planning in terms of shipment leeway times. Review with the Customer Service & Admin Manager, and CEO (when applicable).
- Send Purchase Orders (PO) to the COO/CFO for review and approval. Proactively highlight any business issues/watch outs or knowledge across Supply Chain constraints.
- **Logistics/Freight Forwarding**:

- Establish and maintain key relationship with Logistics/Freight Forwarding Companies and document contact list.
- Coordinate Quotation requests, 3 freight forwarders for each shipment. Review, discuss with Management Team where applicable and document decisions reached. Track in Asana.
- Communicate the Shipment Status with Freight Forwarders - ETDs, ETAs, Delays. Update internal systems and track on BI.
- Provide analysis of shipment timeline trends to assist with decision making. Work with CEO and CFO on financial analysis to assist with Logistics/Freight Forwarding business relationship management and negotiations.
- Communicate arrival of Containers to the Warehouse. Check Off Supplier Confirmations and Picking Lists. Track and analysis discrepancies.
- Logistics Visibility Screen in Office (TBC)
- **Customer Service - Orders**:

- Communicate with Customer Service Coordinator and Warehouse Manager on arrival of Containers to assist with planning. Report discrepancies in Supplier Picking Lists to assist with stock accuracy.
- Release Orders and Backorders of Shipments and load into JIWA. Ensure any discrepancies are adjusted in the system.
- Provide coverage in Customer Service Orders on Mondays.
- Back up support to answering phone calls and general inquiries.
- **Inventory Accuracy - JIWA System**:

- Monitor and update JIWA to ensure Inventory recorded accurately.
- Advise changes from Suppliers to Management Team and adjust in system to reflect.
- Update Pricing, Codes, Quantities and Images.
- Coordinate Inventory Categories, Cost, Minimum Order Quantities within the system.
- Assist Marketing & CEO with Price List updates.
- Assist with the implementation of Opmetrix across the Distributor team and updated processes where applicable.
- **Team Communication & Process**:

- Attend team meetings, update tasks in Asana and work on best practice outcomes.
- Work closely with the Customer Service Coordinator - Orders and provide administration support, and proactive planning for incoming freight volumes, impacting workload across the Warehouse team, impacting stocktakes and other activities.
- Participate in team brainstorming activities to drive process improvements.
- Documentation of the Interclean Supply Chain process and standards.

**Qualifications & Knowledge Background**
- Proven experience in Customer Service & Supply Chain, preferably domestic and international.
- Knowledge of customs and shipment regulations.
- Strong Office Administration skills - Microsoft Office (Word, Excel, Outlook), Project Management & Supply Chain Systems, Databases.
- Clear written and spoken communication skills.
- Superior attention to detail with strong problem-solving skills.
