**Position Summary**
The Administration Officer plays a key role in supporting the daily operations of DD Child and Family Therapy Services. This position provides high-level administrative support to clinicians, families, and the management team to ensure efficient, professional, and client-centred service delivery. The role is pivotal in creating a welcoming environment and ensuring that all administrative systems run smoothly in alignment with clinical, ethical, and operational standards.
**Key Responsibilities**
**1. Reception and Client Support**
- Greet clients and families in a professional and compassionate manner.
- Schedule, confirm, and manage client appointments for clinicians.
- Maintain client confidentiality and manage sensitive information in accordance with privacy laws.
**2. Administrative and Office Support**
- Perform data entry, manage records, and update the client management system.
- Prepare correspondence, forms, reports, and other documentation as required.
- Order and manage office supplies and therapy resources.
- Assist with invoicing, payments, and liaise with NDIS plan managers or agencies.
**3. NDIS Administration**
- Understand and navigate the NDIS price guide and service item codes.
- Support client service bookings in line with NDIS goals and budgets.
- Track client funding usage and alert management of overspending risks.
- Prepare service agreements and assist with intake documentation aligned with NDIS compliance.
**4. Clinical and Team Coordination**
- Support clinicians with administration relating to session documentation, report formatting, and referrals.
- Organise and minute internal team meetings.
- Maintain clinician calendars and manage room bookings.
- Assist with onboarding new staff, students, and volunteers.
**5. Compliance and Record Management**
- Maintain accurate client and administrative records in accordance with organisational and regulatory requirements.
- Ensure all intake, consent, and service agreement forms are up to date and appropriately stored.
- Monitor compliance with Work Health and Safety (WHS), Child Safe Standards, and other applicable policies.
**6. Communication and Stakeholder Liaison**
- Liaise with families, caregivers, schools, and referring agencies as needed.
- Communicate effectively with therapists, management, and external partners, including NDIS-related contacts.
**Selection Criteria**
**Essential**:
- Proven experience in an administrative role, preferably in a health, disability, or community services setting.
- Knowledge of NDIS processes, including service bookings, price guides, plan management, and service agreements.
- Excellent communication and interpersonal skills.
- High-level organisational and time-management skills.
- Proficiency in Microsoft Office and client management systems (e.g., Halaxy, Cliniko, or similar).
- Ability to handle sensitive information with professionalism and confidentiality.
- Demonstrated cultural sensitivity, particularly in working with children, families, and diverse communities.
**Desirable**:
- Experience supporting allied health professionals or in a therapeutic setting.
- Understanding of child development, therapy services, or trauma-informed practice.
- Familiarity with NDIS software portals or CRMs like PRODA, MyGov, or Plan Management platforms

Pay: $26.34 - $40.75 per hour
