Reporting to the Contact Centre Manager, the Office Manager is responsible for leading all aspects of office management and reception operations, ensuring the delivery of high-quality services to our employees and contingent workers.
This role requires a pragmatic leader, with a deep understanding of Customer Service and vendor relationships, and a passion for continuous service improvement.
Note: Current job location is Norwest. We are relocating to Macquarie Park in February 2025.
Key duties and responsibilities:
- Lead the office management team, including receptionists and admin assistant.- Effectively manage the use of shared spaces (desks, meeting rooms, shared breakout space, lockers), and coordinates the delivery of major office events.- Partner with Property (proactive contributor) in developing & maintaining positive & effective relationship with MQX building management and external vendors.- Work with Property & IT (proactive contributor) to develop, manage, maintain & adjust for improvement as required parking practices for staff.- Work with Property (proactive contributor) to develop cleaner/cleaning scope & schedule.- Establish, monitor, and analyse metrics and performance (SLAs/KPIs) to identify trends and areas for operational or service improvement, using employee feedback and benchmark data as appropriate.- Chairs the regular HUB Operations Committee (HOC), which include Executive Assistants as members, to effectively coordinate the delivery of office services, including First Aid and Fire Warden training, safety and security, and recycling practices.- Ensure compliance with relevant policies, confidentiality and security to safeguard staff and Customers.- Works together with Shared Services and business Leadership to drive a positive culture though promotion of activities intentionally to develop and sustain a unified ‘vibe’ across the Support Hub.-
- Identify training needs and development programs to enhance employee skills and knowledge.- Foster a positive, safe and inclusive workplace culture in-line with Anglicare’s Mission, Vision & Values.
Experience, Skills and Competencies required:
- Minimum of 5 years of experience in office management or a similar role.- Strong knowledge of office management best practices and regulations.- Excellent interpersonal and communication skills.- Proven ability to lead and manage a team effectively.- Strong problem-solving and decision-making skills.
