
Executive Assistant to The CEO

An exciting opportunity has become available for an experienced Executive Assistant to work closely with the CEO providing high-level executive and administrative supportin this dynamic and growing business. This role will allow you to exercise your passion for executive support across diary management, stakeholder engagement, coordinating domestic and international travel arrangements, bringing meeting agendas and presentation together, minute taking, conference and meeting preparations and being the main point of contact for the office of the CEO.
This role will suit an energetic, business savvy, ‘can do’ person, capable of managing multiple priorities and looking to be engaged in a business going places.
**Duties & tasks include**:
- Perform administrative tasks relating to the office of the CEO.
- Manage the diary, schedules & appointments for the CEO as required.
- Managing drafting outbound communications for the office of the CEO.
- Participate in external stakeholder engagement activities on behalf of, or with the CEO.
- Preparation and assembly of Executive and Board materials, presentations and related collateral for internal and external stakeholder meetings.
- Agenda co-ordination for internal and external meetings, as well as minute taking and action item management with stakeholders.
- Collate, monitor, and distribute documents requiring CEO review and signature
- Assist in the financial co-ordination of the CEO’s office expenses, including reconciliation of CEO expenditure for reimbursement / payment as appropriate.
- Be the main point of contact for all enquiries/requests to the CEO’s Office and liaise with AEV employees on behalf of the CEO as required.
- Planning conferences, events, calls and meetings, including the logístical arrangements for multiple domestic and international requirements
- Assist the CEO and senior stakeholders with administrative support and support as required with allocated business projects, research and analysis, and other technical or confidential mandates.

- Understands the complexities and nuances of corporate environments.
- Possess a high degree of situational awareness and ability to work with competing priorities.
- Demonstrates a high degree of attention to detail.
- Presents with the maturity and confidence to manage highly sensitive material and play a key role within a tight-knit professional team.
- Is adaptable, flexible and is able, on occasion, to work outside of normal business hours.
**Experience & Requirements**:
- Tertiary qualifications in Business Administration, or similar, or a minimum of 5 years’ experience in a comparable role.
- Has a commercial or financial background.
- Excellent interpersonal skills, effective stakeholder engagement & ability to handle conflict
- High level time management & organisational skills to manage shifting priorities
- Prior experience preparing agendas & minute taking
- Knowledge of financial management administrative processes is advantageous
- Proven experience managing competing priorities and providing consistently high levels of support within short deadlines, and high work volume.
