**Ministerial and Parliamentary Services (MaPS)**

MaPS provides parliamentarians, their staff, and others as required by the Australian Government with a range of facilities and services to assist them in undertaking their duties.

These services include:

- Providing advice and support to clients and stakeholders.
- Paying accounts relating to work expenses, allowances and entitlements.
- Managing and maintaining the _Members of Parliament (Staff) Act 1984 _(MOP(S) Act)_ _employment framework.
- Providing client and event transport (car-with-driver) and associated ground transport services to eligible recipients.
- Managing Commonwealth Parliament Offices and the ministerial wing of Parliament House.
- Managing the Australian Political Exchange Program and the Australian Political Parties for Democracy Program.
- Providing property and office facilities management.

**ABOUT THE**
**OPPORTUNITY**

COMCAR and Programs is seeking expressions of interest from staff interested in being the Parliamentary Expense Management System (PEMS) Support Cell, providing secretariat and administrative support and program management.

The Branch the central point of contact for the PEMS Project.

Our team is responsible for:

- supporting Members of Parliament and their staff (external users) to effectively use PEMS through a blended learning approach
- supporting MaPS and the Independent Parliamentary Expenses Authority (IPEA) (internal users) to use PEMS, and
- providing quality support to all PEMS users requiring assistance with technical issues or enquiries.

We are seeking a team member that can provide administrative support to the PEMS Support Cell, including secretariat for PEMS governance committees:

- collaborate with stakeholders to coordinate a range of activities supporting the success of PEMS
- attend meetings and provide secretariat services for the PEMS project governance groups
- develop communications for stakeholders collaborate with MaPS and IPEA business areas and our service providers to resolve issues
- assist with creating systems and processes to deliver PEMS governance activities, and
- assist with the management of the broader PEMS program.

The PEMS Support Cell plays an important role in the delivery of key work, supporting the Director to ensure quality, timely and accurate results.

In this role you will:

- assist with management of multiple high-level committees
- prepare high quality written reports, briefs, advice and fit for purpose recommendations
- assist with managing engagement with key internal and external stakeholders and represent MaPS in discussions and negotiations with stakeholders and service providers, and
- help to identify future opportunities and provide responsive business aligned solutions and advice that deliver sustainable, efficient and effective services.

Duties include:

- draft minutes, call for papers, report on action items for the PEMS project governance groups
- assist with ensuring effective program support of PEMS across MaPS, IPEA and the Service Delivery Office
- learn about PEMS and how to use and support the system
- work with limited supervision on program initiatives
- assist with the assessment of the priority of change requests, system incidents and problems, and escalating issues and risks across MaPS and IPEA
- assist with designing the change and release schedule including the planning, coordination and management of system testing across business
- contribute to the creation of dashboards on key reporting elements
- transferring skills of both technical and business knowledge
- assist with develop new policy proposals and bid comeback papers
- engage with key internal and external stakeholders and service providers to build effective relationships that collaboratively deliver system improvements
- assist with project reviews and provide input into reports and briefings, and
- foster a positive work culture and inspire staff to achieve quality outputs and outcomes.
